Permanent, Full-Time:Overview of the roleThe HR Administrator will work collaboratively with the HR Manager and Senior Deputy Principal to maintain the day-to-day administration of the HR Department. This role is responsible for providing a broad range of high-quality administrative support in order to meet the needs of the School and our cohort of 200+ staff. Each day is varied and busy, requiring the ability to prioritise responsibilities and manage a range of different activities to ensure the needs of our staff and students are met.Professionalism, positivity, and a calm attitude under pressure must be maintained as well as the ability to maintain high levels of discretion and confidentiality in all circumstances. The role requires excellent organisational and interpersonal skills, attention to detail, and the ability to liaise with a broad range of the School's community members.Key priorities- Provide general administration support to the HR Manager associated with all generalist human resource functions.- Respond to HR enquiries, referring matters to the HR Manager when necessary.- Assist in the preparation of HR documentation and correspondence as required.- Input and update employee data in the School database system, Synergetic, including highly confidential correspondence.- Maintain electronic and hard copy employee records including printing, scanning, uploading collating and filing of documentation.- Perform and monitor compliance screening for VISAs, WWCC and NESA checks.- Contribute to the continuous improvement of systems and processes ensuring services meet professional and industry standards.- Generate staff correspondence including (but not limited to): contracts, changes to employment, change of load letters and leave letters.- Ensure all information related to staff is kept confidential.- Contribute to developing a culturally safe workplace.Wenona seeks to provide a child safe environment. Wenona's Child Safe policies and practices and our Staff Code of Conduct are available on our website.Education and Experience- Qualifications in Business Administration / Human Resources or similar.- Experience in contemporary HR management processes and practices.- Minimum of 5 years' administration experience, preferably in an educational setting.- Ability to produce complex documents (mail merge, table of contents), power points (embed video's), and excel (pivot tables, formula's).- Experience with a data management system (Synergetic or similar), customer relationship system and portal/web maintenance.- Current NSW Working with Children Check.Personal Attributes- Strong verbal and written communication skills, high level of attention to detail and excellent interpersonal skills.- Efficient time management and organisational skills.- Ability to prioritise personal workload and to work simultaneously on multiple projects/events.- Adaptability and willingness to support the culture and values of the School.- The agility and confidence to respond to a range of competing demands and stakeholder- Sensitivity to the protocols and practices of a Kindergarten to Year 12 school environment.- Independent work ethic, with experience and confidence in problem solving, prioritising work and establishing routines and practices that ensure the office is managed to the highest standard.- Exceptional presentation complemented by refined written and verbal communication skill.- Ability to maintain discretion and confidentiality.- Calm, professional, positive demeanour at all times, especially when under pressure.- Robust and resilient approach to meeting changing demands in the workplace.- Passionate about working in a collaborative work environment, developing positive relationships with colleagues and stakeholders to achieve shared goals.- A sense of humour.General conditions of the role:- Award/Industrial Instrument: Independent Schools NSW (Support and Operational Staff) Multi-Enterprise Agreement 2021.- Classification & Pay:Clerical and Administrative Staff: Level 2/3.- Hours of work:Permanent, Full Time, Monday to Friday term time plus one week of each non-term time period, which may change based on the needs of the School.
