Overview
• We are seeking an HR Compliance Coordinator to support onboarding and pre-employment processes within a large academic medical center.
• This role is heavily focused on auditing employee files, maintaining compliance with regulatory standards, and ensuring a smooth and efficient onboarding experience for new hires.
Responsibilities
• Manages onboarding workflows and ensures all pre-employment steps are completed accurately and efficiently for new hires
• Coordinates background checks, employment clearance, and tracks progress while providing updates to recruiters, hiring managers, and candidates
• Audits employee files and onboarding documentation to ensure compliance with regulatory standards including Joint Commission, College of American Pathologists (CAP), and Illinois Department of Public Health (IDPH)
• Collects, reviews, and verifies required documentation including I-9 forms, licenses, certifications, and other compliance-related materials
• Maintains accurate and up-to-date candidate and employee data within the applicant tracking system (ATS)
• Identifies and resolves issues related to onboarding and employment clearance in a timely manner
• Meets with new hires to complete onboarding paperwork and verify documentation, including conducting fingerprinting as required
• Communicates effectively with candidates, recruiters, hiring managers, and internal departments to ensure a smooth onboarding process
• Generates reports and supports onboarding sessions, recruitment events, and new hire orientation activities
• Provides administrative and front desk support as needed, including greeting candidates and assisting with pre-employment testing
Qualifications
• 2+ years of administrative, HR, onboarding, or compliance experience required OR 5+ years of recruiting or administrative support experience required
• Minimum of three years of experience working in a fast-paced, high-volume environment
• Hands-on experience auditing employee files and supporting compliance-related processes required
• Experience working with regulatory standards such as Joint Commission, CAP, IDPH, or similar required
• Strong organizational skills and ability to manage multiple priorities
• Strong communication and customer service skills required
• Ability to handle confidential information with discretion
• Proficiency with Microsoft Office applications required
• Associate degree preferred
• Experience with applicant tracking systems (ATS) preferred
• Experience in healthcare or compliance-driven environments preferred
