Position Title: Human Resources & Administrative Assistant


Classification: Non-Union


Type of Position: Part Time


Conditions of Work: On-site


Human Resources & Administrative Assistant, 24 hours per week. Part-Time position. This is an On-Site position. This is a non-union position that will be joining Kiwassa’s growing People & Culture and Administrative teams. This is a contract position of one year, with the possibility of extension. This position has an anticipated start date of September 15, 2026, but there is flexibility for the right candidate.

Overview: Kiwassa Neighbourhood House grows a welcoming and inclusive community in the vibrant Hastings-Sunrise and Grandview-Woodland neighbourhoods of East Vancouver, Located on the traditional, unceded and occupied territories of the Skwxwú7mesh (Squamish), Səlílw̓ətaʔ/Selilwitulh (TsleilWaututh), and xʷməθkwəyə̓ m (Musqueam) Nations.

Job Summary:

Provides a variety of human resources, administrative, and operations services to Kiwassa during scheduled hours. Prepares correspondence, reports and other documents and maintains a variety of human resource and administrative records, files and related filing systems.

The key responsibilities for this role include:

Duties and Responsibilities

Perform phone screenings for prospective staff and schedule interviews with candidates.
Prepare, update, and file letters of employment, staff documentation, and criminal record checks.
Assist the onboarding of new staff including the assignment of devices, keys, and email accounts and adding their information to the HRIS platform.
Record notes for meetings between the employer and the union including Joint Labour Management and Investigation meetings.
Support staff use of IT systems and resources by providing basic technical support, liaise with IT contractors.
Support administrative needs of senior management and Board, including meeting preparation, minute-taking, communications, and AGM support.
Produces ad hoc reports from databases as required by the supervisor by identifying and organizing the required information, compiling data, designing format, and printing reports.
Schedule room and equipment bookings.
Answers telephone and in-person inquiries, routing them to appropriate staff members.
Provides information about Kiwassa programs and activities.
Completes general clerical office tasks and assists with other administrative tasks involving word processing, spreadsheets, database files and filing.
Other duties as assigned.

The position reports to the Manager, People & Culture.

Qualifications:

Education and Knowledge

Minimum of 2 years’ experience in front office administration
Excellent interpersonal and communication skills
Training and Experience

Completion of a program of up to one (1) year certification in human resources or office administration
Or a combination of education and experience.
Wage: $25.55
