Job Title: Installation Coordinator
Job Summary: The Installation & Service Support Coordinator plays a critical role in supporting nationwide installation and service operations for Compactor and Baler equipment. This position is responsible for coordinating installation planning, service scheduling, and cross-functional communication between Sales, Service, Logistics, and Customers to ensure timely, accurate, and high-quality execution.
This role also serves as a key administrative and systems liaison, utilizing Salesforce and internal systems to manage work orders, track installation and service activity, and supporting the Sales team throughout the customer lifecycle.
The ideal candidate thrives in a fast-paced environment, is highly organized, detail-oriented, and customer-focused, and is comfortable managing multiple priorities across a national service footprint.
Key Responsibilities:
Installation & Service Coordination
Coordinate and schedule nationwide installations and service activities for Compactor and Baler equipment.
Plan installation timelines in coordination with Sales, Logistics, field technicians, and subcontractors.
Manage scheduling adjustments related to site readiness, equipment delivery, customer availability, and field resources.
Monitor job progress and proactively resolve scheduling conflicts, delays, or execution risks.
Ensure installation and service activities comply with company policies, safety standards, and customer requirements.
Sales Team Support
Partner closely with the Sales team to support:
Pre-installation planning and readiness
Post-sale installation coordination
Customer communication throughout the install and service lifecycle
Serve as a point of contact for Sales regarding installation timelines, service status, and customer follow-ups.
Assist Sales with documentation, coordination, and visibility needed to ensure a positive customer experience.
Help bridge communication between Sales and Service to ensure accurate expectations are set and met.
Systems & Salesforce Management
Utilize Salesforce CRM to:
Track installations, service calls, and customer interactions
Maintain accurate records of work orders, service history, and installation data
Support reporting and visibility into service and installation performance
Ensure data accuracy across Salesforce and internal systems (e.g., RentalMan / AS400 where applicable).
Support continuous improvement by helping identify data gaps, process inefficiencies, and system improvements.
Customer Communication & Support
Communicate directly with customers to:
Confirm installation and service appointments
Gather site readiness requirements
Provide updates on service or installation status
Coordinate follow-ups after completion
Respond to customer inquiries in a timely, professional, and solutions-oriented manner.
Support issue resolution by coordinating internally with Service, Sales, and Logistics teams.
Administrative & Operational Support
Prepare, process, and coordinate purchase orders and work orders related to installations and service.
Maintain service documentation including work orders, service reports, parts requests, and installation records.
Support service inventory coordination and parts ordering as needed.
Assist leadership with tracking service performance metrics and supporting continuous improvement initiatives.
Plan installation timelines in coordination with Sales, Logistics, field technicians, and subcontractors.

Qualifications:
High school diploma or equivalent (Associate or Bachelor’s degree preferred; relevant experience may substitute).
Minimum 2 years of experience in a coordination, administrative, or customer support role.
Strong organizational and time-management skills with the ability to multitask.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite.
Experience working in CRM or scheduling systems (Salesforce experience strongly preferred).
Ability to work independently while collaborating effectively in a team environment.
Coachable, adaptable, and comfortable in a fast-paced operational setting.
Preferred Qualifications:
Experience in waste, recycling, logistics, or industrial equipment environments.
Familiarity with Compactors and Balers or other technical equipment.
Experience supporting installation or field service teams across multiple regions.
Strong problem-solving mindset with a customer-first approach.
