Essential Job Functions:

The Judiciary Clerk dockets all types of civil or criminal pleadings and enters court orders for Queen Anne?s County Circuit Court. The incumbent assists the public, attorneys, court agencies and staff by providing information about the status of cases and Clerk?s office procedures, both in person and by telephone. Processes and maintains all types of civil and family or criminal cases by determining case type, entering docket information, preparing and issuing summonses, notices or writs. Provides customer service at the counter and via phone. Serves as a cashier.

Essential Duties and Responsibilities:

Greets and assists the general public and court related personnel, responding to inquiries regarding the proper completion of various court related forms and information regarding court policies and procedures.

Provides information about the status of cases or office procedures.

Prepares electronic case files and ensures that all necessary documents are complete and accurate in accordance with established court procedures.

Processes and maintains electronic case files by reviewing pleadings, typing docket information, and establishing electronic case file.

Enters new cases and updates existing case information into the court?s data systems.

Reviews and processes legal documents such as bench warrants, bond forfeitures, subpoenas, summonses, appeals, continuances, commitment papers and court dockets.

Types court notices, transmittals, and orders in accordance with established court procedures.

Receives, enters, and accounts for all monies received by the court for fines, court costs and other fees, utilizing a computerized cash register.

a variety of clerical work which may include civil or family cases, foreclosures, breach of contracts, garnishments, and/or criminal case types.

Processes new cases and sends them out for service of legal process via the Sheriff?s Office or certified mail.

Receives, opens, sorts, and distributes mail to the appropriate section of the court.

Sorts and files various documents and materials according to an established file classification system.

Minimum Qualifications:

Education:

High School diploma (or GED equivalent).

Experience:

One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.

Note:

A Bachelor?s Degree may substitute the required work experience.

A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.

A Paralegal Certificate may substitute the required work experience.

Knowledge, Skills, and Abilities:

Knowledge of:

Job related terminology, codes, comments, notations, orders, policies, procedures, rules, regulations, and laws.

Personal Computers and software to include, but not limited to, Microsoft Office Suite.

Court forms, practices, procedures, protocols, systems, and equipment required to support the specialized work of the assigned unit(s).

Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.

Skill in:

Applying job-related terminology, codes, policies, procedures, rules, regulations, and laws.

Customer service and handling problems tactfully and patiently. Communicating information effectively.

Analyzing submissions, court documents and legal documents, noting details and facts pertinent to this assignment.

Ability to:

Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, register, scanner, fax machine, etc.

Accept payments and distribute funds allocated to each fee charged.

Interpret, apply, and follow a variety of written or verbal instructions.

Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.

Provide assistance, guidance, and direction to others in a polite and efficient manner.

Work within time constraints, meet fixed deadlines, and demonstrate good organizational skills.

Physical Requirements:

Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.

Personal computer, scanner, copier, fax machine, multi-line telephone, cash register and postage meter. All used daily to perform duties
