Join us in shaping Canada’s sustainable energy future
The Pembina Institute is seeking a lead for our Operations team based out of either of our Alberta offices (Calgary or Edmonton). Come join our team ensure the smooth, consistent, and people-centred functioning of our internal operations, supporting staff across the organization to do their best work.
Who we are
At the Pembina Institute, it’s all hands on deck and it has been for the last 40 years.

Our 50+ person team, distributed across the country, are passionate and dedicated, but we don't sweat the small stuff. We’re too busy tackling one of the most important issues of our time: Canada’s clean energy transition.

In that transition, we don’t leave anyone behind and believe each member of our team plays a critical role in achieving our goals. We ensure equity but promote individuality. We lead with curiosity — challenging our own ideas and limiting beliefs, being open to diversity of thought and opinion. We use evidence-based thinking to inform our recommendations to decision-makers and understand that to make long-lasting changes, we need to take a practical approach when collaborating with others.

Our commitment to responsible development, and our “tough, but fair” approach, using research, consulting and convening, gives us credibility with decision-makers whose actions today are setting the direction for the planet. Are you ready to join us?
Meet the team
The Operations team at the Pembina Institute plays a vital role in ensuring the organization runs smoothly, efficiently, and equitably across all offices. We are the behind-the-scenes enablers who support staff through thoughtful systems, responsive service, and reliable tools that help them focus on advancing the institute’s mission. From onboarding and internal communications to document management and office infrastructure, we take care of the essential functions that keep things moving. As a central hub, we work closely with teams across the organization to uphold shared standards and foster a cohesive, people-centred workplace. Our goal is to create an operational environment that empowers impact.
The opportunity
Reporting to the Manager, Operations, the Lead is primarily responsible for overseeing operational processes related to staff onboarding and offboarding, and general office and phone management. As a member of the Operations team, the incumbent will also provide support on other general operations tasks.
Your key responsibilities
Lead and coordinate operational tasks related to employee changes — including onboarding, offboarding, and job transitions — in collaboration with human resources and relevant teams.
Deliver operational onboarding training and conduct touchpoints to ensure new employees are equipped with essential tools and knowledge.
Maintain accurate and up-to-date employee and operational data across Microsoft 365 and other internal systems.
Serve as the first point of contact for internal and external inquiries directed to the Operations team’s general inboxes, providing timely and professional support.
Monitor and support consistent operational standards across all offices, conducting reviews and addressing equity considerations as directed.
Manage procurement and inventory of office supplies to meet day-to-day operational needs.
Oversee the organization-wide phone system, including user setup, reception duties, voicemail management, inquiry redirection, and holiday scheduling.
Provide support with document management systems and contribute to broader operational and administrative tasks, including coverage during team absences.
What we’re looking for
As a highly organized and detail-oriented professional, you bring a solutions-oriented mindset, emotional maturity, and a strong sense of ownership to operational work. You excel at managing priorities, making informed decisions, and ensuring consistency and accuracy across systems. Proactive and autonomous, you take initiative, adapt easily to shifting priorities, and thrive in a hands-on role where accountability and follow-through matter. With strong project management skills, you independently organize resources and timelines to maintain efficient, high-quality operations.

You’re a thoughtful communicator who builds strong, respectful relationships across teams, approaching challenges with creativity, clarity, and a commitment to resolution. Proficient in Microsoft 365 and other operational tools, you're eager to adopt new technologies and continuously improve how work gets done. Above all, you bring passion and purpose to your work, aligning with the Pembina Institute’s mission and contributing meaningfully to a collaborative, results-driven environment.
What you bring
A bachelor’s degree in business administration, operations management, or a related field is preferred.
Minimum of one year of experience in an administrative or operations role within a professional environment; a combination of education and relevant experience will be considered.
Proficiency in Microsoft 365 applications and document management systems within a PC-based setting.
Experience with change management initiatives is strongly preferred.
Experience working with CRM platforms such as Salesforce is considered an asset.
Background in a front-facing customer service role is considered an asset.
Experience working or volunteering in a not-for-profit organization is considered an asset.
The typical hiring range for the position is $60,706 to $66,225 annually based on a 37.5-hour work week, with a maximum range of $71,745. Within this range, individual pay is determined by factors including job-related skills, related experience, education and/or training, and internal equity.

We know that to meet our ambitious goals, our people are the core. We also know that one size does not fit all; therefore, we offer employees a flexible office and home schedule that allows individuals to find an optimal balance. Our employees receive a generous paid time-off package starting with four weeks of vacation, time to cover health and wellness and professional development, and our offices are closed annually from December 25 to January 1. In addition, we offer RRSP matching, parenthood top-ups, extended health and dental benefits, and yearly development funds.
