Job Description
Essential Duties and Responsibilities:
• Hire, train, supervise and evaluate Patient Support Specialist, Clinical Support Assistants, Medical Assistants, Care Team Coordinators, IHC Supervisors, and IHC Assistant Managers at assigned locations.
• Directly supervises employees – assign and direct work, conduct performance appraisals, address complaints, take appropriate disciplinary action with prior approval in accordance with limitations set forth in the Collective Bargaining Agreement and organization policies.
• Ensures patient support team follows established customer service goals and AIDET.
• Develops and reviews policies related to business operational support functions including scheduling, registration, and eligibility screening.
• Monitors flow of data collection, through patient access and registration, to support program and agency objectives.
• With Director of Collaborative Care input, manages all IHC staff and provider scheduling and ensures appropriate coverage. Plans staffing patterns to optimize productivity.
• Solves problems and handles daily provider/patient issues of concern to ensure optimal patient satisfaction including patient flow. Reports major issues to the Manager.
• Has a working knowledge of the electronic health record system (EHRS). Works with colleagues to resolve EHRS issues, reporting major EHRS issues to the Manager. Maintains an appropriate office environment.
• Ensures office equipment (including, but not limited to telephones, computers, fax machines, printers, copiers) is in working order. Arranges for immediate repair when necessary. Trains appropriate staff to use office equipment.
• Addresses patient issues that may arise. Follows grievance policies. Apprises Collaborative Care Director of all grievances and results.
• Regularly communicates with Collaborative Care Director about operational issues including, but not limited to, productivity, safety, patient satisfaction, and quality.
• Regularly evaluate IHC facilities to ensure cleaning and maintenance of the facilities is accurate and all equipment is in working order. Arrange for immediate repair when necessary. Apprises Manager of any major issues.
• Consults with Collaborative Care Director to ensure OSHA and other regulatory compliance.
• Participates in budget discussions and provides data to support budgetary decisions regarding assigned IHCs.
• Assumes responsibility for the accuracy, substance and timeliness of reports, projects, schedules and other relevant work products, as assigned.
• Stays apprised of health care trends and policy initiatives impacting delivery of health care services at local, state, and national levels and educates staff regarding policy and process changes impacting health care services
• Develops and maintains professional relationships with appropriate professional groups and organizations.
• Attends and participates in management team meetings and works cooperatively with all Tap360 staff to maximize service and reporting outcomes. Works with management team in the development of long-range plans, service delivery model and other significant strategies and/or systems.
• In consultation with the Facilities Manager, manages facility logs and equipment list.
• Other duties may be assigned.
Qualifications:
• Associates Degree and six (6) years of experience working in a community health center or medical practice or equivalent and at least two (2) years of supervisory experience.
• Certificate in Medical Practice Management, Associate Degree in Medical Practice Management or Bachelor’s Degree in Business or Health Administration preferred.
• Fluency in another language may be required and is always preferred.
