Job Description
The Marketing Operations Coordinator provides essential administrative and logistical support to the Marketing team. This role focuses on keeping marketing projects, materials, and operations organized and running efficiently. The Coordinator assists with day-to-day administrative tasks such as ordering promotional materials, managing marketing requests, processing ticket requests, supporting promotional item ordering requests, and maintaining organized marketing systems that support campaigns and branch needs. Help prepare, support, and distribute marketing materials for campaigns, events, or Marketing Department meetings.
Scheduled Weekly Hours:
24 hours per week; Monday–Friday. The standard schedule is 10:00 a.m.–2:00 p.m., with flexibility as needed. Availability for occasional evenings and weekends is required to meet business needs.
What you’ll be doing:
Manage inventory and coordinate ordering of marketing materials, signage, and promotional items.
Fulfill and track marketing requests from branches and internal departments, ensuring timely delivery and clear communication.
Maintain and update shared marketing files, templates, and archives, including rate sheets and disclosure documents.
Support marketing campaigns and special projects as assigned by the Marketing Operations Manager.
Coordinate meetings, take notes, and assist with scheduling for the marketing team.
Monitor and log marketing-related expenses for print, promotions, and supplies.
Update and maintain marketing calendars, task lists, and project trackers to help meet deadlines.
Provide professional, friendly service to internal partners and follow up with vendors and departments to confirm task completion.
You’re Perfect For This Role If You Have:
1–3 years of experience in marketing, administration, or office coordination
Strong attention to detail, organization, and the ability to manage multiple tasks and deadlines
Proficiency in Microsoft Office and a willingness to learn new software or task management tools
Excellent verbal and written communication skills, with a collaborative and service-oriented mindset
Ability to read, write, and interpret project plans, reports, and procedural documents
Basic design skills and familiarity with Adobe Creative Suite (a plus)
Bilingual skills (preferred) and strong interpersonal communication abilities
Physical ability to occasionally lift up to 45 pounds and work indoors/outdoors as needed

Bay Federal Credit Union is proud to offer a competitive, robust compensation and benefits package. Bay Federal considers many factors in determining base pay such as experience, education/training, internal peer equity, job location, and other business considerations when extending an offer. For Santa Cruz, CA only, the pay scale Bay Federal reasonably expects to pay for this position is $24 - $30 per hour. Salaries are based on the geographic location in which you live if working remotely.

Paid time off is accrued per paycheck for eligible employees at a rate based on your tenure. Leaves of absences are available in adherence with state and federal regulations.
