Job description
Based in North York, the Ontario Society of Professional Engineers (OSPE) is a not-for-profit professional association that champions the interests of Ontario’s engineering community. Through advocacy and member services, OSPE supports the economic, professional, and societal contributions of engineers across the province.
As the Membership Database Administrator, you will play a critical role in managing OSPE’s membership data ecosystem, with a focus on ensuring the accuracy, integrity, and strategic use of information across platforms like Wicket and D2L. Working collaboratively with staff, volunteers, and external partners in a fast-paced, deadline-driven environment, this role supports data-driven decision-making by collecting, analyzing, and reporting on key membership and engagement metrics. The ideal candidate demonstrates professional maturity, sound judgment, adaptability, and initiative—especially when navigating shifting priorities or new systems and processes.

Key Responsibilities:
• Maintain and ensure the accuracy of member data in Wicket, including regular updates and data cleansing.
• Manage membership lifecycle processes such as enrollment, renewals, upgrades, and lapsed follow-ups.
• Monitor and troubleshoot integration syncs between Wicket, D2L, marketing platforms, and payment systems.
• Maintain dashboards and reports to track key membership metrics and performance indicators.
• Provide service support services for inquiries, troubleshooting, and access issues for both members and non-members.
• Analyze member behavior and trends to inform strategic decisions related to campaigns, engagement, and retention.
• Support automated workflows (e.g., onboarding, renewal emails) and assist with targeted member segmentation for campaigns.
• Conduct market research and competitive analysis to identify trends, industry benchmarks, and prospective member interests.
• Compile and interpret statistical data using modern tools and research methodologies.
• Collaborate with cross-functional teams (Marketing, Training, Events, Finance) to align data strategies with organizational goals.
• Maintain documentation of data practices, procedures, and system workflows.
• Other administrative and logistical duties as assigned.
Qualifications:
• Minimum Post-Secondary Certificate, Diploma or Degree in marketing, business, statistics or a related discipline, and at least three years equivalent or related experience.
• Member Database Association experience (Wicket)
• Experience managing membership data within an Association Management System (preferably Wicket)
• Familiarity with Learning Management Systems, specifically D2L
• Excellent written and verbal communication skills, with the ability to produce clear, high-quality materials for diverse audiences
• Proven ability to work both independently and collaboratively to meet deadlines and achieve objectives
• Minimum of 2 years of professional experience in data reporting, communications, or similar roles, including report writing
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
