Job Overview
We are seeking a highly organized and reliable Mortgage Underwriting Assistant to join our growing team in the Ottawa–Gatineau region. This role supports the mortgage underwriting process from application intake through closing. The ideal candidate will have previous mortgage industry experience, strong administrative skills, and the ability to communicate confidently with clients, lenders, and legal professionals in both English and French.
Our team manages high volumes of financial transactions, so attention to detail, organization, and strong follow-up skills are essential.
Key Responsibilities
Mortgage Processing & Underwriting Support
Application intake and review of mortgage files
Collecting and organizing all required documentation from clients
Supporting the underwriting process by ensuring files are complete and compliant
Ordering property appraisals and tracking completion
Coordinating document fulfillment with lenders and lawyers
Following up on all aspects of the mortgage process to ensure smooth and timely closings
Client & Partner Communication
Making phone calls and communicating with clients to gather documentation and provide updates
Liaising with lenders, lawyers, and other stakeholders to ensure documentation requirements are met
Administrative & Operational Duties
Maintaining and updating Excel databases and mortgage file records
Managing documentation and file organization
Assisting with general administrative tasks related to mortgage transactions
Ensuring all files move efficiently through the pipeline
Qualifications
Required
Must be fully bilingual (English and French)
Previous mortgage industry experience is essential
Must reside in the Ottawa–Gatineau region and be able to travel between offices
Strong organizational skills and attention to detail
Ability to manage multiple files in a high-volume financial environment
Comfortable making phone calls and communicating with clients
Strong administrative and document management skills
Proficiency with Microsoft Excel
Assets
Experience in finance or financial services
Knowledge of mortgage underwriting processes and documentation
A Mortgage License (may be required within the first year)
Compensation
Compensation: To be discussed and based on experience
Probation Period: Initial 3-month contract
Successful candidates will transition to a salaried position after probation
