Your New Team: Join our Corporate Services division at Auto & General, where you'll play a crucial role in supporting the smooth operations of our Toowong office. Our team is dedicated to maintaining a high-performance culture with high integrity, working together to create smarter solutions for our customers.

The Role: As the Part-Time Office Administrator for our Toowong site, you will be responsible for managing the daily operations of the office, ensuring that it runs efficiently and that all internal and external stakeholders receive exceptional service. You'll be the go-to person for administrative support, helping to create a welcoming and professional environment for staff and visitors alike.

Part-Time Details

This role requires you to work 1 day per week, with the flexibility to choose from the following options:

Monday, Wednesday, Friday
Tuesday, Thursday, Friday

The reception team operates from 8:00 AM to 4:00 PM or +:30 AM to 5:30 PM, and there is no flexibility with these hours.

Position Accountabilities

Manage the daily opening and closing of the Toowong Office, ensuring all areas are maintained to a high standard.
Handle internal and external calls with professionalism.
Greet clients, staff, and visitors with a welcoming and professional demeanor.
Oversee general administration tasks, including courier, mail, and deliveries management, expense processing, and invoice reconciliation.
Maintain office supplies and manage inventory for the site.
Coordinate meeting room bookings, setup, and AV requirements.
Arrange catering for various meetings and events.
Provide general admin support to EAs, PAs, and other administrative functions.
Assist with onboarding new staff, including security access and site orientation.
Manage the Gallagher site security system, ensuring accurate staff information and security access.
Oversee the Visitor Management Tool and create reports as needed.
Draft email communications, design posters, and maintain spreadsheets.
Manage My Service tickets for the site.
Support P&C in conducting site hazard inspections.
Collaborate with leaders to enhance the site, people, and business culture.
Manage supplier accounts and handle spending responsibly.
Engage with stakeholders at all levels, both internal and external.
Maintain and update process and procedure documents, including the reception manual.
Provide training and support to new team members.
Assist the Head of Site and Employee Experience teams with various ad hoc tasks and site events.

Qualifications & Experience

5+ years’ experience in a Reception or administration role.
Excellent communication skills, both written and verbal.
Strong time management and task prioritization skills.
Sound analytical and problem-solving abilities.
Ability to manage multiple requests simultaneously and prioritize issues effectively.
Strong customer service focus.
Proficient in Microsoft Office and Google apps (Preferred).
