SUMMARY OF POSITION RESPONSIBILITIES:Under the supervision of the Chief Operating Officer, the Office Manager/HR Professional provides advanced administrative support to the Chief Executive Officer and the organization. This position is crucial in the management of administrative and clinical information. The Human Resources Manager is responsible for multiple administrative tasks related to the administrative functions of Underdue Social Services/Embracing Arms, Inc. human resources, including control and organization of records and the management of multiple human resource requirements.
Monthly Salary: $2500
ESSENTIAL DUTIES:1. Serves as the Office Manager for the organization through distribution, receipt, storage, and communication of information related to the ongoing operations of the organization. 2. Manages the organization’s historical information by developing and utilizing a filing and retrieval systems that is efficient and easy to manage.3. Exercises discretion in communication and confidentiality when working with management and direct service staff within and outside Underdue Social Services/Embracing Arms, Inc. 4. Completes correspondence, reports, memos, and special projects with precision and in a timely manner, as directed by the Executive Director. 5. Obtains and increases professional and technical knowledge and skills by attending trainings, reviewing professional publications, and establishing personal networks related to workplace competence.6. Conducts and/or coordinates new employee orientation, benefits orientation, leaves of absences, and open enrollment meetings.7. Completes the initial and ongoing credential verification, background checks, and any other essential items needed for all employees/contractors within the guidelines of the policy.8. Manages the organization’s personnel recruitment process through consultation with the CEO for guidance and directives, managing the advertising for new employees, disseminating resumes to the appropriate personnel, and completing all steps of hiring process prior to generating an offer letter.9. Manages the clinician recruitment process by soliciting references, communicating offers, completing the Medicare/county billing enrollment requirements, and ensuring that the clinician credentialing process is completed appropriately. 10. Manages the employee termination process by distributing the final check to the employee, conducting an exit interview with each employee, and completing the COBRA notification process. 11. Consults with benefit providers to elicit information on eligibility, billing, and insurance enrollment changes. 12. Assembles and maintains personnel and administrative correspondence files in designated areas according to applicable alphabetic filing systems.13. Completes tasks with attention to detail, meets established deadlines, and functions with minimal direct supervision. 14. Demonstrates the ability to organize and prioritize required and assigned job duties. 15. Displays functional interpersonal skills with employees and patients by communicating in a clear and direct manner when relaying information and managing administrative tasks, and by assisting in resolving misunderstandings and/or conflicts occurring within the organization.16. Maintains employee databases and appropriate documentation for all organizational training requirements.17. Participates actively in administrative organizational tasks directly related to obtaining and maintaining national accreditation.18. Performs other duties and special projects as assigned by the CEO.19. Completes Employee and Consumer Satisfaction Survey and prepares a report. 20. Provides a Quarterly HR Report due on the 1st of the following months: January, April, July, and October21. Monitor the compliance efforts and advising management/administration on potential sources of loss22. Makes recommendations to minimize or eliminate organizational exposure and monitors compliance with federal, state, and other local agencies.23. Compliance with the guidelines and standards and assists with auditing of CARF, RBWO, DHS, DFCS, RCCL, DBHDD, DJJ, and other regulatory standard bodies. 24. Conduct internal investigations on allegations of staff misconduct, incidents, or any other pertinent information25. Report organizational performance and make recommendations of performance improvement26. Works directly with CARF liaison to ensure agencies overall compliance with standards and creates timeline with administration to ensure its completion.
Position Requirements
Minimum three (3+) plus years of Office Management/HR experience in a mental health, or social services environment.
45 -55 wpm typing; must demonstrate typing skills.
Advanced skills in PC/Word processing/database/spreadsheets/systems, and integrating the advanced skills to produce complex reports and documents. Possess computer skills in Microsoft Word and Excel for Windows.
Ability to apply the concepts of customer service in the workplace. . Ability to use good professional judgment.. Detail oriented. Ability to work independently, with minimal direct supervision.
Posses a basic knowledge of all office equipment, including word processors, typewriters, Dictaphone, FAX, and copy machines, and a willingness to attend appropriate classes to increase knowledge as needed.
Excellent organizational, prioritization, and interpersonal communication skills. Excellent oral and written communication skills
Ability to handle multiple tasks and meet critical deadlines. Ability to meet short and long-term goals and project deadlines.
Respect for the confidentiality of all communications required within job duties, including client/employee records and documents, and electronic transmission by voice, data, and wire.
Experience with multi-cultural/multi-lingual populations and multi-disciplinary teams.
