Job Description
You will be part of our administration team in McKC, responsible for providing administrative support for 24 hrs. x 7 days. The administration department manages the office facility which includes office housekeeping, electromechanical services, security and safety of the premise, and pantry/cafeteria management. The department also is responsible for providing services related to corporate travel which includes managing hotel booking and international/domestic travel, office transport, office-related procurement, events & conferences, etc.
You should have exposure to general administration functions. You will be required to interact with a large pool of vendors and should be adept at performing duties falling under facility management and general office operations. You should have a high service orientation towards office members.
You should be a strong team player, have a high motivation for the administration role, have good learning ability, and be able to communicate fluently in English both in verbal and written form.
What You'll Do
You will need to take care of office housekeeping, maintenance of physical space, internal events, including supervising external contractors and vendors, and performing quality control inspections with complete invoice management, maintaining proper MISs for Invoices, and other admin-related work.
You need to work in close coordination with HK, F&B, maintenance & production team for their requirement, process order and maintain MIS for orders and expenses with attention to detail, do procurement documentation, invite quotations, make comparisons, make PO, and maintain records for all ******** of administration along with record keeping for all kind of administration agreements, contracts and AMCs will also be an important part of your profile. You will be responsible for supply inventory including checking through issued purchase orders as appropriate provide backup support for office services roles as needed. You will maintain vendor database, cleared bills, and timely payment. You will be creating and maintaining monthly expense reports, managing client visits, etc.
Qualifications
Graduate preferably with specialization in hotel management
1+ years of experience in core administration in corporate environment, strong organizational and administrative skills
Proficient in MS Office software (e.g. Excel, Word, PowerPoint)
Proven track record on coordinating housekeeping and cafeteria activities in corporate office
Ability to work independently and manage multiple priorities / processes at the same time, and prioritize effectively
Performs well under pressure and meets deadlines effectively
Resourceful and proven effectiveness working with vendors and suppliers
Strong customer service orientation and outstanding customer service skills with ability to interact effectively at all levels
Responsiveness to multiple (often ad hoc) requests and strong sense of urgency
Possesses high energy, a "can-do" attitude, a willingness to take initiative, and a proactive approach to practice and team support
Flexibility to work longer hours during peak work periods
Strong and fluent in written and verbal communication skills respectively - able to clearly and concisely convey key information through a variety of communication channels (voice mail, e-mail, face to face)
