Role Description
This is a full-time onsite role for an Operations Executive for Events and Exhibitions in Mumbai. The Operations Executive will be responsible for managing logistics, coordinating with vendors, and ensuring the smooth execution of events and exhibitions. The Operations Executive will also provide on-site support during events/exhibitions and handle any issues that may arise.
Qualifications
• Excellent organizational and time-management skills
• Strong interpersonal and communication skills
• Demonstrated experience in event planning and execution
• Ability to multitask and prioritize tasks effectively
• Proficiency in Microsoft Office Suite and other event management software
• Bachelor's degree or higher in event management, hospitality, marketing, or a related field
• Willingness to work flexible hours and travel as needed
• Ability to work under pressure and handle stressful situations with a calm and professional demeanor
• Carry out crowd control and evacuation plans with venue operations department.
• Carry out fast and accurate registration processes.
• Carry out site set-up pre-event and site tear-down post-event to prepare for handover of venues.
• Contact vendors to obtain quotes for goods and services.
• Develop accommodation plans for participants.
• Develop initial logistics and transportation plans to support event plans.
• Develop registration process protocols for events.
• Ensure events follow all local security, workplace safety and health regulations and requirements.
• Execute event logistics plans with event organisers and vendors.
• Manage immigration processes and protocols for participants.
• Manage movement and activities of volunteers.
• Manage participant enquiries regarding the events.
• Perform initial inspection of vendors' event deliverables to ensure quality standards.
• Prepare incident summary reports.
• Prepare service contracts for vendors.
• Relay event deliverables and timelines to vendors.
• Report security threats to management during events.
• Research local security, Workplace Safety and Health policies and regulations to include in event plans.
• Troubleshoot on-site issues.
• Work with event organisers to execute events
