We’re looking for a people-focused, detail-oriented and proactive Operations Administrator to support the smooth day-to-day running of our national services. In this role, you will drive operational efficiency and support service excellence across a nationwide healthcare provider. Healthvision NZ is seeking someone who thrives on keeping systems running smoothly and supports national teams to deliver quality care.
Reporting to the Chief Operations Officer, this permanent full-time (40 hours) role ensures consistency and efficiency across core processes, including payroll, scheduling, reporting, and communication.
You’ll work closely with regional teams, service managers and the senior leadership team, providing structured administrative support that enables teams to focus on delivering exceptional client care.

Key responsibilities:
Provide administrative and coordination support to regional and national teams
Assist operations team with payroll timesheets, leave tracking, and weekly reporting
Maintain accurate records in our Customer Management system.
Help update and format Standard Operating Procedures (SOPs) and templates
Support onboarding logistics and continuous improvement projects
Circulate meeting notes and follow up on action points to ensure consistency across teams

Proven admin or operations experience
Great organisational and time management skills.
Clear and confident communication, with great relationship-building skills and a calm, approachable manner.
Self-motivation and a collaborative nature
MS Office skills and general tech-savviness (Any customer management system experience would be advantageous).
Comfortable navigating complex administrative processes and delivering outcomes with minimal oversight.
High attention to detail, reliability, and a can-do attitude
