Job Description

We seek a highly organised and proactive Operations Support Officer to assist the Charity in delivering its ambitious goals. You will help to support and work with the SCAA Management Team to deliver the strategic direction and objectives of the Board of Trustees.

While experience of working in a clinical or aviation environment is not essential, it would be useful. You will however need to understand the demands and requirements of working with a life-saving organisation.

It is a varied and challenging role, and the successful candidate will be flexible, diplomatic, self-motivated and have a proactive, personable and confident approach.

About the Role:
• Working with the Operations Manager and stakeholders to support the delivery of air ambulance operations.
• Support the Operations Manager to ensure SCAA’s aviation provider and clinical services provider are delivering the required standards of service.
• Collate and provide robust qualitative statistical reporting for use with internal and external stakeholders.
• Support the Operations Manager at Operational Sub-Committee and monthly meetings, reporting as required.
• Co-ordinate and collate results from various sources of reporting to ensure that SCAA maintains safe working practices across all charitable activities, our operational bases and any other associated facilities, meeting all relevant legislative and regulatory requirements.
• Conduct regular site inspections and checks to ensure compliance with Health & Safety legislation and organisational policies. • Work with the Operations Manager, colleagues and other stakeholders to ensure that all SCAA bases meet the required Health & Safety, audit and professional standards.
• Ensure Health and Safety training is delivered in a timely and effective manner.
• Support the overall management of all SCAA facilities including following up on any agreed actions to ensure they are delivered effectively.
• Support the operations function to implement and test the SCAA Emergency Response Plan and Business Continuity Plan in the event of a significant incident
• Working with the operational team to manage the annual maintenance of key equipment, vehicles and PPE. Maintain an accurate asset register, identify replacement requirements and support procurement projects in a timely, cost-effective manner.
• Support the delivery of any projects such as Operation Skyward.
• Work closely with operational crew, attending team meetings as required, highlighting any significant matters to the Operations Manager.
• Deal with the day-to-day management of SCAA’s vehicle fleet including the 2 Rapid Response Vehicle's, supporting with the procurement of suitable vehicles when required.
• Ensure that any fleet management systems are operating effectively.
• Assist the Donor Relations Officer with the management of operational databases.
• Support the planning, implementation and management of any regulatory changes.
• Support the delivery of SCAA’s carbon project, managing operational aspects as required.
• Work with colleagues from other departments to support the delivery of PR, Media and fundraising events which require advice or involvement from the operations department.

Essential Experience, Knowledge, Skills and Personal Qualities:
• Experience of working in an operational, operational support or project management role.
• Experience of analysing complex data from various sources and condensing into qualitative reporting
• Experience of maintaining safe working practices, ensuring that all areas of an organisation meet regulatory standards.
• Evidence of effective planning and organisational skills including project planning, prioritisation and time management.
• Ability to deliver KPIs in collaboration with a number of key stakeholders.
• Strong presentation, reporting, influencing and communication skills.
• Ability to develop and manage senior relationships with stakeholders.
• Ability to represent SCAA at external events or with external stakeholders, as appropriate.
• Ability to apply an appropriately high level of analytical skills.

Desirable Experience, Knowledge and Skills:
• Experience working in a clinical and/or aviation environment.
• NEBOSH certificate or equivalent .
• Experience of identifying and understanding risk in either a public or third sector environment.
• PRINCE2 or similar qualification

The successful candidate must also hold a valid UK drivers' licence.
