Job Description
Purpose of the job:
The Payroll Specialist/Administrator is responsible to perform complex work involved in the processing of the payroll; audit and verify incoming payroll data; assist departments with applicable forms and processes; initiate course of corrective action and provides guidance to departments to process accurate employee payroll; compile and administer salary increases and retroactive pay; process statutory payments.
Critical experience:
Must have 3-5 years hands-on experience of a payroll software system.
At least 4 years’ experience in a payroll administrator function within a large multinational, across multiple locations and currencies
Must be able to demonstrate sufficient knowledge in the area of payroll taxes.
Proficiency in the use of the timekeeping system will be an added advantage.
Background in general HR administration advantageous including the ability to type and prepare contracts of employment.
Excellent computer skills in Microsoft Word, Excel, Access
Minimum Education:
Graduate in HR or Finance, a payroll specific qualification will be advantage.
Key Performance area:
Payroll Administration
Processes regular and supplemental FN/Monthly payroll for all group entities; performs complex payroll calculations; gathers and verifies information from entities for proper processing of payroll transactions; creates, audits, corrects and balances payroll and a variety of reports.
Analyses integrated payroll system calculations for accuracy; researches and applies corrective action as needed, including salary adjustments for retroactive pay & retirement purposes.
Monitor’s hours worked by staff to ensure authorization of work, correct use of budget codes, verification of pay rate, and to prevent over expenditure of funds.
Processing of statutory payments Pay as You Earn (PAYE) ,TDS,ESIC,PF and Social Security contributions for any employees to whom remuneration is paid.
Compiles distribution of payroll reports and advice; mails, and files payroll info; produces and disseminates payroll reports.
Generates stop payments, calculates, and processes expenditure transfers with fringe benefits.
Calculates, verifies, and processes deductions; disburses payments in accordance with established timelines; determines the appropriate amount for voluntary and involuntary deductions.
Research questions and computations regarding gross pay, load, salary, deductions, retroactive pay; interprets and explains payroll practices and procedures to employees.
Reviews, processes, and verifies new hire and retirement paperwork for all employees; creates and maintains spreadsheets to monitor and code exceptions to normal retirement coding for hourly payrolls.
