Job Summary:
The Payroll Specialist is responsible for supporting the accurate and timely processing of the company’s payroll. This role assists with preparing payroll entries, performing payroll reconciliations to ensure the accuracy and completeness of time entries and expense reimbursements, and completing administrative tasks related to payroll operations. The Payroll Specialist may also record payroll-related accounting entries, including payroll taxes, workers’ compensation, and general payroll journal entries, while maintaining compliance with company policies and applicable regulations. This position requires strong attention to detail, effective communication, and the ability to collaborate with internal and external stakeholders.

Duties/Responsibilities:
Payroll Operations
Review and reconcile payroll data, including time entries, earnings, deductions, and reimbursements, to ensure accuracy and completeness.
Support end-to-end payroll processing under the direction of the Accounting and Finance team.
Assist with preparing payroll journal entries, payroll tax entries, and other payroll-related accounting records.
Assist with workers’ compensation reporting and related payroll documentation.
Communication and Collaboration
Maintain regular, professional communication with payroll management and internal stakeholders.
Address and research payroll-related questions, discrepancies, and requested changes in recorded amounts.
Collaborate with Human Resources, Accounting, and other internal departments to support payroll accuracy and efficiency.
Foster strong working relationships with external vendors, service providers, and regulatory contacts to facilitate payroll processes.
Reporting
Prepare routine payroll reports to support internal review, audits, and management decision-making.
Assist with ad hoc payroll reporting requests as needed.
Compliance and Recordkeeping
Ensure payroll processes comply with company policies and applicable federal, state, and local regulations.
Maintain accurate, complete, and well-organized payroll and financial records in accordance with retention requirements.
Support payroll audits and compliance reviews as requested.
Administrative Support
Perform administrative tasks related to payroll operations, systems maintenance, and documentation.
Assist with special projects and additional duties as required to support organizational goals and evolving business needs.
Additional responsibilities and tasks as required to support the organization's goals and adapt to evolving business needs.
Attributes/Abilities:
Must have a satisfactory background check.

Strong attention to detail.
Ability to build and maintain strong relationships with peers, supervisors and employees and managers in other departments.
Experience and Education:
3-5 years proven experience with administrative and clerical tasks.
High School diploma/G.E.D.
Excellent typing skills.
Proficiency in Microsoft Office Suite.
Demonstrated ability to learn and adapt to new software systems.
Experience with ADP Workforce Now (ADP WFN) strongly preferred.
Physical Requirements:
This is an office desk position with no significant physical exertion required.
