Summary
We are seeking a highly organized and efficient Personal Assistant to provide administrative and secretarial support to Ipau and its Directors. The successful candidate will be responsible for managing schedules, arranging appointments, coordinating travel, assisting with accounts/payroll and handling confidential information.
The position will allow for flexibility and would suit a child drop-off/pick-up schedule. We are looking for a candidate that would like to work 20-25 hours per week, but this can be adjusted higher or lower for the right fit.
Responsibilities
Manage and maintain the Director calendars, including scheduling appointments, meetings, and travel arrangements
Screen and prioritize incoming calls, emails, and correspondence, and respond on behalf of the Directors as appropriate
Prepare and edit correspondence, reports, and presentations
Conduct research and compile data for reports and presentations
Manage and coordinate special projects as assigned by the Director
Handle confidential information with discretion and maintain confidentiality at all times
Act as a liaison between the Directors and internal/external stakeholders, including clients, vendors, and other executives
Attend meetings and take minutes as required
Manage expenses and prepare expense reports
Perform other administrative duties as assigned
Qualifications
Proven experience as a Personal Assistant or Executive Assistant will be highly regarded
Excellent organizational and time management skills
Strong communication and interpersonal skills
Ability to work independently and prioritize tasks effectively
Proficient in Microsoft Office Suite and other relevant software
Ability to maintain confidentiality and handle sensitive information with discretion
Strong attention to detail and accuracy
