Job Description
Responsibilities:
· Organize and maintain the employer's calendar, scheduling appointments, meetings, and events. Coordinate with internal and external parties to ensure efficient time management.
· Manage all incoming and outgoing communications, including phone calls, emails, and other correspondence. Prioritize and respond to messages on behalf of the employer, maintaining professionalism and confidentiality.
· Make travel arrangements, including booking flights, accommodation, transportation, and visa processing. Prepare itineraries and ensure smooth travel logistics.
· Prepare meeting agendas, take minutes, and distribute relevant documents. Coordinate meeting logistics, such as venue booking, equipment setup, and catering arrangements.
· Draft, proofread, and edit various documents, including letters, memos, reports, and presentations. Maintain an organized filing system for easy retrieval of documents.
· Conduct research, gather data, and prepare reports or summaries for the employer's review. Maintain databases and ensure the confidentiality and accuracy of information.
· Build and maintain positive relationships with internal and external stakeholders, such as clients, partners, and staff members. Serve as a liaison between the employer and these individuals or organizations.
· Coordinate administrative tasks, such as ordering office supplies, managing expenses, and maintaining office equipment. Oversee the smooth operation of the employer's office and address any issues promptly.
Qualifications:
· A high school diploma is typically required, but additional certifications or a degree in business administration or a related field is advantageous.
· Previous experience in a secretarial or administrative role is preferred. Experience supporting high-level executives or public figures is highly desirable.
· Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment. Strong attention to detail and excellent time management skills are essential.
· Exceptional verbal and written communication skills. Ability to communicate professionally and tactfully with individuals at all levels, both internally and externally.
