Position Summary
We are seeking a reliable and organized Preschool Administrative Assistant to support the Preschool Director and ensure smooth daily operations of our early childhood program. This role combines front-office management, family communication, enrollment coordination, staff scheduling support, recordkeeping, and occasional classroom support to help maintain a positive, nurturing environment for children and families.
Key Responsibilities (Office and Administrative Support)
Greet families, answer phones, and respond to email and in-person inquiries
Maintain accurate program records, files, and documentation
Prepare internal reports, invoices, and correspondence
Process purchasing requests and coordinate with vendors
Ensure compliance documentation is up to date and ready for review
Parent and Family Communication
Serve as a friendly point of contact for families
Share program updates and assist with questions or concerns
Support coordination of parent events and communication materials
Assist with social media post updates and family messaging as directed
Enrollment Coordination and Records
Coordinate enrollment processes and schedule, and conduct tours for prospective families
Manage applications, student records, and waitlists in database systems
Prepare enrollment and attendance reports as needed
Staff Support and Scheduling Assistance
Help with staff scheduling, coverage planning, and time-off tracking
Assist with onboarding paperwork and compliance tasks
Classroom and After Care Support
Provide classroom assistance and coverage as needed to support routines and transitions

Qualifications
Associate’s degree or equivalent experience in administration, education, or related field; early childhood experience preferred
1-3 years of administrative, customer service, or early childhood support experience, ideally in a school or nonprofit setting
Strong organization, communication, and time management skillS
Customer service mindset with excellent attention to detail
Comfort interacting with families, staff, and children
Proficiency in Microsoft Office, Google Suite, and general database systems

Schedule:
Full-time position: Monday to Friday; 10:00 AM - 6:00 PM
Salary:
$50,000 - $55,000: Commensurate of experience
