Job Description
We are seeking a proactive and detail-oriented Project Administrator to support residential construction and development projects from pre-construction through to delivery. This is a unique opportunity to join the future $1B business and be part of its inevitable success from the very beginning.
You will work closely with the business owner and senior project stakeholders, gaining hands-on exposure across project coordination, documentation management, approvals, and construction support. Salary & Employment Type
From $60,000 plus superannuation per year
Part-time position available, with pro-rata remuneration based on agreed hours
Key Responsibilities
Project & Cost Administration
Assist with the preparation and ongoing management of project budgets, cost plans, and cash flows
Support plan vs actual (plan–fact) tracking for cost, time, and project progress
Assist with preparation of project reports, registers, and internal documentation
Project Documentation Management
Manage project documentation, including filing, version control, and document registers
Ensure all key stakeholders have access to the latest construction and project documentation
Coordinate design, consultant, and construction documentation across project stages
Approvals & Authority Liaison
Prepare and submit documentation through the NSW Planning Portal for:
Development Applications (DA)
Complying Development Certificates (CDC)
Construction Certificates (CC)
Liaise with Councils and relevant government authorities, departments, agencies, and bodies to obtain approvals and required permissions
Track approval conditions and assist with compliance and supporting documentation
Consultant & Stakeholder Coordination
Liaise with key project stakeholders including architects, civil and structural engineers, other consultants, and the Head of Construction
Assist with coordination between design, approvals, and construction teams
Support communication flow to ensure alignment across all parties
Tendering, Procurement & Trade Support
Assist with tendering processes, including coordination of documentation and submissions
Obtain, compare, and organise subcontractor and supplier quotes
Assist with preparation and administration of Scopes of Works for trades
Support supply chain and procurement administration for construction materials
Program & General Project Support
Assist with maintaining project programs and schedules
Support risk identification, issue tracking, and follow-up actions
Provide general administrative and coordination support to the project team
Key Requirements
Bachelor’s degree in Project Management, Engineering, Construction Management, or a related discipline (or equivalent experience)
Interest in residential construction and/or property development
Exposure to construction documentation, estimating, cost control, or procurement processes (preferred but not essential)
Strong organisational skills with high attention to detail
Ability to manage multiple tasks and priorities effectively
Clear written and verbal communication skills
Proficiency in Microsoft Office and general project administration tools
Desirable Attributes
Experience supporting multiple projects concurrently
Basic understanding of construction methodologies and sequencing
