Job Description
We’re looking for a Property Administrator to assist with a variety of administrative functions including, but not limited to processing and maintaining tenant files, tenant and vendor communication, coding property invoices for payment and assisting with various marketing efforts.
RESPONSIBILITIES
Payment Processing
Perform invoice administration, including reconciliations, record maintenance and all related tasks
Identify and code operating expenses, ensuring invoices match to purchase orders for accuracy and accurate allocations; ensure timely processing
Maintain control logs of property utility, property tax, leasing and capital expenditure invoices; utility tracking administration
Assist in preparation of tenant charge backs (where applicable)
Reporting
Update reports on tenant reporting, including following up with tenants on outstanding reporting.
Certain project work may be required.
Maintain utilities consumption and costs tracking sheets
Administrative Support
Assisting with compilation and maintenance of all documentation, binders, files, electronic filing, expense reports, and various administrative duties.
Work closely with various internal groups to ensure all administrative aspects of Tenancy Leases are maintained
Provide back up for Administrators, and provide relief for Reception
Receptions duties when required.
Work with marketing team on marketing initiatives.
Tenant Communications
Handle a variety of internal and external vendor inquiries.
Collecting, reviewing, and tracking tenant insurance certificates and other reporting as may be required.
QUALIFICATIONS
Enrollment in a Post secondary program in related discipline.
Proven organizational and multi-tasking skills; able to cope with changing client needs and deliver successful results within the time frame
Exceptional communications, organization, interpersonal and time management skills
High initiative, professional, and flexible.
The base salary for this position is $21.00 hourly.
