ICM Properties, Inc. is seeking a highly organized and communication-focused Property Management Administrator to join our team. This role is ideal for someone with limited property management experience or an individual looking to grow their career through hands-on learning. We offer a competitive hourly rate ranging from $20 to $22 per hour.
Since 1966, ICM Properties, Inc. is a full-service property management company managing over 2,600 apartments on the north side of Chicago. Our team is made up of knowledgeable leasing agents, experienced property managers, and dedicated maintenance professionals who work collaboratively to provide excellent service.
This position plays a key role in enhancing the resident experience by serving as a central point of contact for communication and maintenance coordination. The ideal candidate will help drive transparency across the department by ensuring residents receive clear, consistent, and proactive updates so they feel informed, heard, and supported.
Key Responsibilities
· Serve as the primary point person for resident communications, including maintenance updates, work order status, and building or city-related announcements
· Assist in coordinating and completing maintenance jobs with technicians and building engineers
· Ensure residents are informed of daily work schedules and project timelines
· Correspond with tenants regarding maintenance issues and implement work orders
· Track, manage, and follow up on all work orders to ensure timely and complete resolution
· Maintain a detailed database of pending and completed work orders
· Inspect vacated units and create work orders for necessary repairs
· Facilitate internal updates for ongoing maintenance projects
· Ensure resident concerns are addressed promptly and professionally
· Deliver excellent customer service and maintain positive resident relationships
· Collaborate with property management, maintenance, and leasing teams
Skills & Qualifications
· Strong communication skills with a focus on clarity, empathy, and responsiveness
· Ability to manage multiple priorities in a fast-paced environment
· Professionalism and sound judgment in stressful situations
· Strong organizational and detail-oriented skills
· Ability to work independently and as part of a team
· Working knowledge of Microsoft Office (Word, Excel) and property management systems (AppFolio a plus)
· Understanding of Fair Housing and Chicago Landlord Tenant Ordinance requirements
Experience
· Previous experience in property management or customer service preferred
· Experience with maintenance coordination or building trades is a plus
· Familiarity with property management software (AppFolio or similar) preferred
Requirements
· Valid driver’s license and ability to legally operate a motor vehicle
· Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
· Requires the ability to move within different areas of properties, stand, sit, walk up/down stairs for periods of time.
· Ability to use key cutting machine.
· Able to lift up to 50lbs.
· 20% travel, property to property, within Chicagoland area.

Schedule
· 8-hour shifts
· Schedule will vary based on departmental needs and may include weekends
