Responsibility
• Manage the procurement and contract process including the initial request, bidding process, bidding analysis, contract award and execution, contract reporting
• Analyze bids and proposals
• Oversee all purchasing transactions (including vendor purchases, travel requisitions, and credit card purchases) of the University to ensure compliance with internal policies.
• Assist in the preparation of the monthly and annual financial statements, assist in the completion of the year-end external audit
• Review monthly reconciliations of various financial statements.
• Communicating equipment needs to the supplier, Evaluating supplier options
• Co-supervise financial services team members
• Ensure compliance with company procurement policies and procedures
• Control Sales Ledger - Manage daily invoicing, Debtors, AR Days, Cash Collection, Create Journal Entries, Balance Sheet Reconciliations
• Manage the company’s day-to-day purchasing activities and ensure that all purchasing agents are meeting their personal performance standards
• Monitor supplier performance, Management of Accruals and Prepayments
• Prepare and review requests for proposals
• Negotiating with suppliers on points like price, schedule, quantity, and packaging
• Evaluating vendors and procurement strategies for efficiency and value
• Reviewing legal and contractual responsibilities for both the supplier and the company
• Ensure timely delivery of goods and services
• Preparation of monthly Management Accounts and Reports for local Management and submission to management.
• Facilitating communication between company stakeholders, managers, and other team members regarding technical procurement
Qualification
• Bachelor’s degree in business, logistics, Accounting or a related field may be required.
• Previous experience in a similar position.
• Proficiency in the relevant management software programs.
• Superb written and verbal communication and negotiation skills.
• Great organizational and planning skills.
• The ability to identify market trends and make decisions in a high-stress environment.
• Proven work experience as a Purchasing Officer, Purchasing Agent, or similar role
• Good knowledge of vendor sourcing practices (researching, evaluating, and liaising with vendors)
• Understanding of supply chain procedures
• Solid analytical skills, with the ability to create financial reports and conduct cost analyses
Salary: upto 30K p.m
