Role And Responsibilities
• Reporting to management and providing administrative support.
• Answering and redirecting phone calls to respective departments.
• Scheduling and confirming appointments, meetings, and events.
• Greeting and assisting visitors in a professional and friendly manner.
• Handling enquiries and sorting mail.
• Managing document copying, scanning, and filing.
• Preparing reports on plant activity for the Managing Director.
• Managing and maintaining the office's attendance register.
• Maintaining office supplies inventory and placing orders when needed.
• Monitoring and reporting on the activity of office and plant guards.
• Assisting with phone calls, taking messages, and redirecting calls to the appropriate offices.
• Organizing and maintaining files, records, and updating them regularly.
• Creating and maintaining updated documents and spreadsheets.
• Conducting basic bookkeeping tasks and issuing invoices.
• Recording meeting minutes and dictations.
• Performing any other assigned duties based on the organization's requirements.
Candidate Qualifications
• A high school diploma or equivalent qualification.
• Proven experience as a receptionist or in a similar administrative role.
• Proficiency in using Microsoft Office applications.
• Excellent communication and interpersonal skills.
• Strong organizational and multitasking abilities.
