Job Description
1. Maintains Director’s appointment calendar by scheduling meetings, teleconferences and travel including itineraries, airline reservations, hotel accommodations, rental cars, and all other travel needs.
2. Liaising with the Director and actively updating his work plan, projects and responsibilities, including monitoring of commitments and deadlines, maintaining confidentiality.
3. Managing the Directorate filing systems, mailing list and contacts database, taking telephone messages and dealing appropriately with incoming and outgoing post.
4. Ability to handle confidential information with discretion
5. Basic library and internet searches and presentation of information in appropriate formats.
6. General secretarial support for the Director of Strategy Operations and Development Officer as required
7. Keep front desk tidy and presentable with all necessary material (pens, forms, paper etc.)
8.The answer, screen, and forward incoming phone calls as necessary.
+. Taking and ensuring messages are passed to the appropriate staff member in time
10. Greet and welcome guests as soon as they arrive at the office
11. Receive letters, packages etc. and distribute them to the right employee
12. Prepare packages for dispatch and coordinate with logistics partners for their pickup
13. Monitor office supplies and place orders when necessary
14. Keep updated records and files
15. Monitor office expenses and costs
16. handles all admin in office and helps with HR.
17. filing of bills and other admin related issues.
Qualifications
Education to degree standard or equivalent
Knowledge
A good working knowledge and skills of Microsoft applications (Word, Access, Excel, PowerPoint and Outlook), including a good understanding and practical experience of using databases, spreadsheets and the Internet.
Skills
1. Excellent written and verbal communication skills
2. Excellent interpersonal skills, dealing with people at senior levels professionally and with appropriate confidentiality.
