Job Description
The Engagement and Recruitment Manager is a relationship-driven and operations-minded role responsible for strengthening Ladies of Virtue’s volunteer mentor pipeline and ensuring volunteers and members remain connected, trained, supported, and engaged throughout the year. This role leads volunteer recruitment initiatives, designs and delivers onboarding and training experiences, improves volunteer and membership processes, and coordinates engagement activities that drive participation and retention.
The ideal candidate is a strong leader and organizer with a keen understanding of operational processes, a commitment to continuous improvement, and the ability to implement strategies that advance organizational success. This individual excels at building community, managing records and communications, and planning and executing engagement events that reinforce a positive, inclusive culture aligned with the Ladies of Virtue mission and values.
This role collaborates closely with the Marketing Team, Social Media Team, Operations Team, and Saturday Program Team & Volunteers to develop and execute recruitment campaigns, engagement communications, and volunteer/member-facing initiatives.
Key Responsibilities
Volunteer Recruitment and Pipeline Management
• Develops, leads and executes volunteer recruitment initiatives, with a primary focus on mentor recruitment and interviewing.
• Develops and implements recruitment strategies to attract volunteers who meet the profile requirements, aligning with programmatic needs and organizational values.
• Collaborates with the Marketing Team, Social Media and IT teams to develop recruitment messaging, outreach campaigns, and content that supports volunteer acquisition and conversion.
• Partners with the Operations Team and internal leaders to identify volunteer needs (quantity, roles, skill sets, schedules) and maintain up-to-date volunteer position descriptions.
• Coordinates peak season recruitment and onboarding workflows June–November, including outreach cadence, follow-up, volunteer readiness milestones, and timely placement.
• Supports the development and continuous improvement of volunteer recruitment materials, including role descriptions, application, FAQs, recruitment campaigns, and informational resources.
Volunteer Onboarding and Training
• Designs and facilitates volunteer orientation sessions (aka informational sessions) that introduce new volunteers to Ladies of Virtue’s mission, values, programs, expectations, and culture.
• Develops and implements training programs that build volunteer readiness, confidence, and consistency in engagement with participants.
• Coordinates training logistics, attendance tracking, and post-training communications.
• Maintains and updates onboarding documentation, volunteer handbooks, training guides, and process checklists to ensure clarity and standardization.
• Collaborates with the Marketing, Social Media, and IT teams to ensure onboarding communications are clear, consistent, and aligned with brand voice and messaging standards.
Volunteer Engagement, Recognition, and Retention (in collaboration with the Saturday Team)
• Develops and implements engagement strategies that strengthen volunteer connection, commitment, and sense of belonging.
• Fosters a positive, inclusive volunteer culture by creating touchpoints throughout the year (updates, check-ins, gatherings, appreciation moments).
• Coordinates volunteer recognition initiatives, including appreciation communications, spotlights, milestone acknowledgments, and seasonal recognition programs in collaboration with the Marketing and Social Media Teams.
• Serves as a key point of contact for volunteer questions and concerns, ensuring timely communication and issue resolution in coordination with appropriate staff.
Performance Monitoring and Support
• Develops feedback surveys for recruiting and onboarding activities to newly onboarded participants
• Establishes, tracks, and reports volunteer engagement and performance metrics, such as recruitment pipeline status, onboarding completion, training attendance, engagement participation, and retention indicators.
• Collaborates with program staff to identify performance gaps, address concerns, and reinforce expectations using a constructive, supportive approach.
Process Improvement and Operational Excellence
• Assesses volunteer workflows to identify operational inefficiencies and propose solutions that improve quality, clarity, and execution and automation.
• Creates and maintains standardized tools and systems (templates, trackers, SOPs, checklists) to streamline processes and ensure continuity.
• Recommends and implements improvements to documentation practices, data management, and engagement operations.
• Supports cross-functional coordination to ensure volunteer engagement processes integrate smoothly with program operations and events.
• Has exposure/experience with Salesforce platform for data management
Event Planning and Engagement Activities
· Develops and executes the planning and execution of volunteer recruitment events, engagement gatherings, and large-scale events that involve volunteers and members.
· Tracks event participation and outcomes, capturing lessons learned and improvement opportunities.
· Represents Ladies of Virtue professionally at events and community engagement opportunities, as needed.
Required Qualifications and Experience
• Proven experience in operations coordination and volunteer recruitment and/or volunteer training and engagement.
• Demonstrated experience in event planning and execution, including large-scale events.
• Proficiency in document management, organizational systems, and workflow coordination.
• Strong leadership and team collaboration skills, with the ability to influence without formal authority.
• Analytical mindset with the ability to identify root causes, address inefficiencies, and implement practical solutions.
• Excellent communication and interpersonal skills, including comfort engaging diverse stakeholders.
• Strong organizational, project management, and multitasking abilities with attention to detail.
• Proficiency in relevant software and tools for data management (e.g., Microsoft Office, Salesforces, spreadsheets, databases/CRMs, shared drives, forms, and communication platforms).
• Passion for Ladies of Virtue’s mission and the ability to inspire and energize volunteers and stakeholders.
