Job Description Summary

The Research Grants Facilitator position is designed to provide strategic planning and supports for the Faculty of Education in the area of research grant and awards acquisition, particularly to support social sciences and humanities research. The position will identify and communicate research award and funding opportunities from Canadian and international government funding agencies, private foundations and industry, as well as provide proposal development support for faculty on their research grant applications and award nominations. The position will establish and maintain relationships with key points of contact with internal and external research and award sponsors. The position will develop strategic research support plans for the Faculty of Education in collaboration with the Associate Dean Research and the Director, Research Development. The position will also provide authoritative advice and understanding of the mandates, priorities, processes and policies of internal UBC and major Canadian and U.S. government and private research funding sponsors.

Organizational Status

This position reports directly to, and collaborates with, the Director, Research Development, and works closely with the Associate Dean, Research to ensure that the Research Grant Facilitator s activities are integrated into the effective operation of the Office of Research in Education. The position communicates directly with Education and UBC faculty and staff and external research sponsor personnel. The position also communicates directly with personnel in UBC s Office of Research Services (ORS), Office of the VP Research and Innovation (VPRI), Office of the Provost & VP Academic, SPARC, University Industry Liaison Office (UILO), Research & Trust Accounting (RTA), Institutional Programs Office (IPO), and the Faculty of Education s Development and Communications personnel.

Work Performed

Research Grant Preparation & Advising
Establishes and maintains productive relationships with internal and external research sponsors on behalf of the Faculty in order to maintain current knowledge of the research award and funding landscape and to improve the Faculty s research grant success;
Provides authoritative advice to researchers and Faculty leadership on the culture, priorities, eligibility criteria, deadlines, submission processes, budget requirements and other important details regarding internal and external research funding and award opportunities;
Ensures researchers are aware of, and address within their funding applications, University and external agency policies and procedures, paying special attention to risk management and insurance protection, research ethics, ownership of intellectual property, publication restrictions, confidentiality issues, special deliverables, budgets, terms of payment and indirect costs recovery;
Works with faculty in the development of research grant or award nomination proposals, which may include minor copy editing, reviewing and developing feedback on proposal design and content, providing advice on grant budgets, assisting in the writing of letters of intent and proposal support letters, advising faculty on how to improve their proposals, and assisting faculty to ensure that key components of grant applications are complete prior to submission;
Develops timelines and internal processes for reviewing research grant applications for key institutional requirements prior to the provision of Faculty-level signatures;
Liaises directly with the Office of Research Services, VP Research and Innovation, SPARC, research sponsor personnel, Research and Trust Accounting, University Industry Liaison Office, Institutional Programs Office, and faculty and administrative staff on questions related to the acquisition and administration of research funding;
Advises faculty on the appropriate UBC personnel to contact for post-award grant management support (e.g. the processes involved in transferring funds from other institutions);
Provides expertise to faculty on possible financial, human resource, equipment and space resource requirements to be included in research grant applications;
Advises new Education faculty of research funding and award opportunities and research support services, so as to ease the transition to the local research environment.

Strategic Planning:
Develops and enacts an internal review/feedback process for major, recurring research grant applications, in consultation with the Director, Research Development and the Associate Dean, Research, and with consideration of external and institutional deadlines and requirements;
Develops and enacts research professional development opportunities for faculty (e.g. workshops on grant writing, open access, partnered research, award nomination, adopting researcher digital identifiers) in consultation with the Director, Research Development;
Develops reports for the Associate Dean, Research and Director, Research Development that provide indicators of success in the acquisition of research funding, numbers and types of research grant applications and award nominations, and the impact of the research grant facilitation process;
Monitors the research grant writing and research infrastructure support needs of faculty and, based on these needs, provides recommendations to the Director, Research Development and Associate Dean, Research on the ongoing requirements and possible avenues of research support.

Education/Communication
Connects with faculty new to UBC and assists them with the transition to the local research environment;
Keeps informed of and communicates regularly about, using various channels, new research grant and award funding opportunities that are relevant for Education Faculty members;
Develops and implements grant writing supports, in consultation with the Director, Research Development, that would include a series of educational sessions on specific aspects of grant writing and where appropriate would include guest speakers (e.g. grant reviewers, successful grant awardees, sponsor representatives);
Provides individual and group consultation for faculty to strengthen grant writing skills;
Develops digital resources (e.g. budget templates, web content) to aid in the development of research proposals;
Provides Faculty and UBC Communications and Development personnel with information on current faculty research projects, recent grant awards and profiles of research in the Faculty.

Consequence of Error/Judgement

The conclusions and recommendations resulting from the work of the incumbent are vital to the success of the development and acquisition of research grants and awards in the Faculty of Education. The position has significant influence on the quality and effectiveness of research support services offered by the Office of Research in Education. Failure to accurately identify external granting agency and University research policies and procedures can result in the subsequent rejection of faculty grant applications, the return of awarded funds, the loss of future funds and/or the inability to collect funds owed to the University, the Faculty and individual researchers. The loss of future opportunities and funds and would call into question the perceived level of research competence of Education faculty and investigators and injure the Faculty s reputation as one of Canada s top Faculties for education research.

Supervision Received

The position works with a high degree of independence under the direction of the Director, Research Development, in conjunction with the Associate Dean, Research. Works independently but refers to supervisor when work departs from established norms and policy guidelines. Works from generally defined goals of the University and specifically designed goals established by the Faculty of Education.

Supervision Given

Supervision of CUPE 2+50 staff may be required periodically when administrative assistance is required.

Preferred Qualifications

Post-graduate degree or equivalent professional designation if responsible for a research project Undergraduate degree if not responsible for a research project.A University degree with several years experience with applied knowledge and demonstrated skill in successful research grant application, facilitation and administration (particularly in the social sciences and humanities), or a combination of education and experience;
Strong understanding of the language and culture of the research community and research granting agencies;
High degree of analytical accuracy, innovative thinking, sound judgment and the ability to work independently;
Strong interpersonal, conflict negotiation and diplomacy skills;
Superior communication skills (oral and written), excellent writing and copy editing skills;
Very good knowledge of University policies and procedures related to research administration;
A broad knowledge of University structure and operations;
Demonstrated knowledge, skill and experience in research grant development and administration;
Excellent knowledge of policies and procedures of research funding sponsors and agencies;
Excellent organizational and time management skills;
A high degree of tact and diplomacy in dealing with business affairs;
Ability to adapt to changing priorities, multitasking and meeting deadlines;
Experience in report writing;
Experience in using a wide variety of word processing, spreadsheet, database and web applications essential; ability to learn/use UBC IT research support systems (e.g., RISe Extended Reporting, VPRI Sharepoint);
Strong presentation skills using PowerPoint and other multimedia.4 years or equivalent combination of education and experience if responsible for research project 6 years or equivalent combination of education and experience if not research work.
