Position: Southern Alberta Rugby Union Program Assistant
Location: Calgary Rugby Park – 9025 Shepard Rd SE
Term: April 20, 2026 – September 26, 2026
Hours:
Full-time: 30-40 hours per week (April 20 – August 30)
Part-time: 15–20 hours per week (September)
Compensation: $20.00–$25.00 per hour
Reports to: Executive Director
About the Organization
The Southern Alberta Rugby Union (SARU) supports and delivers rugby programming across the Calgary region. Operating out of Calgary Rugby Park, SARU works closely with clubs, coaches, officials, and volunteers to provide leagues, tournaments, and development programs for athletes of all ages.
Position Overview
The Program Assistant supports the planning, coordination, and delivery of SARU programs and events throughout the rugby season. This role includes both administrative and hands-on responsibilities, with a strong focus on game day operations, youth programming, and volunteer coordination.
This is an ideal position for someone who is organized, enjoys working in a sport environment, and is comfortable taking initiative in a fast-paced setting.
Key Responsibilities
Program & Game Day Operations
Coordinate and communicate with athletic therapists, referees, and facility staff on game days
Assist with league operations using PlayHQ (game management software)
Support scheduling and execution of weekly minis and junior programs
Help deliver a smooth and positive experience for players, coaches, and officials
Event & Volunteer Coordination
Assist in coordinating volunteers for tournaments and special events
Support planning and execution of SARU events and competitions
Help manage logistics and communication leading up to and during events
Supervision & Leadership
Supervise and delegate responsibilities to volunteers and Youth Development Officers during rugby Saturdays
Support on-site program delivery and ensure schedules run efficiently
Act as a point of contact during programs and events as needed
Program Support & Administration
Assist with delivery of summer youth camps in July and August
Provide administrative support to the Executive Director
Assist with social media updates and communications
Support additional tasks related to rugby programming and operations
Working Conditions
Evening and weekend work required, particularly during the rugby season
Fast-paced, event-driven environment
Combination of office/administrative and on-field responsibilities
Qualifications
Must be 18–30 years of age (Canada Summer Jobs eligibility)
Strong interest in sport and community programming
Excellent communication and people management skills
Ability to work independently and as part of a team
Strong organizational and time management skills
Flexible schedule with availability for evenings and weekends
Valid Class 5 Driver’s License
Criminal Record Check with Vulnerable Sector Check
Standard First Aid and CPR is an asset
Demonstrated initiative, leadership, and reliability
