Position Summary
This position is ideal for individuals who have the drive and desire to ‘make things happen’. It requires a highly motivated individual with attention to detail, great organizational skills and passion for communication and connecting with others. In charge of processing, timely scheduling of all work that is processed for his/her account, facilitating, and troubleshooting, then this role is perfect for you.
Outcomes and Accomplishments:
As a Subtitling Sr Account Coordinator, you will:
Be processing all new work from the Client.
Need strong organizational skills and attention to detail
Be independently sorting through the inbox and taking on exclusive tasks or projects within the team and End-to-end management of the Client inbox including work division for the junior ACs.
Need to demonstrate exceptional communication skills across all levels (verbal, written)
Own setting up and coordinating subtitling projects in our proprietary cloud-based platform for localization services. Setting up projects on SNL and Sfera and sending out work requests to the production teams. (Setting up process includes SPM searches, profile, language, billing and delivery specs tabs on SNL & prod notes and their equivalents on Sfera)
Need to ensure that files are completed on a timely manner by liaising with Production. Materials check – proxy and script. Follow up with the Client on missing/erroneous scripts and/or proxies.
Set up POA for all atypical projects involving other teams. Ensure that production teams and external freelance resources are clearly and accurately informed of all client requirements for each project and comply with the requirements.
Be sending any updates received from the Clients on projects to keep every dept in the loop.
Be tracking your projects every day to ensure there is no delay in delivering to the Client within the promised timelines. Collaborate on production-related initiatives to drive customer satisfaction
Follow-up daily on all WIP projects and missing elements, responding to extension requests based on production need.
Be acting on Client rejections on priority. (This would include research and response to the Client with a detailed root cause analysis).
Need to ensure the Client is billed accurately and in a timely fashion for all your projects.
Act as a means of clarification for all departments and offices.
What You Bring:
At least two years’ experience in a Coordinator role, preferably in Media. Previous experience in Client management would be a plus.
Excellent written & spoken English. Knowledge of additional foreign languages an asset. You can operate in a fast-paced, deadline-driven environment
Ability to work in a team and individually - contributing to team goals. Flexibility to work extended hours and/or weekends to meet project deadlines
Ability to Multi-task and take on varied tasks and Strong organizational skills. Ability to work under pressure and work towards achieving team goals. High degree of commitment to work. High performance standards
Pro-active attitude, problem-solving skills, and ability to remain calm and focused under pressure.
Open to work in all shifts
Should have proven research skills and should be comfortable using Internet-based search engines
Minimum Graduate/Diploma
Technical Skills
Ability to use a desktop computer system efficiently
Ability to use Internet and Email efficiently
Software skills - Word, Excel, Outlook, PowerPoint, ability to use Deluxe Proprietary software and tools
Dept. specific process knowledge and skills
Should possess knowledge on AC team’s process flow.
Criteria for Promotion to Senior Account Coordinator
Should be serving as an Account Coordinator for a min 18 months.
Should have received a rating of meets expectations or above on the current level in the last two performance reviews
Demonstrates proficiency level of intermediate or above in the following key areas:
1. Excellent knowledge of all AC processes
2. Ability to multi-task without any negative impact on quality of work
3. Ability to work under pressure and adapt to different situations
4. Good organizational and time-management skills
