Roles:
To manage corporate office Human Resource functions in line with corporate policy guidelines. Also oversee the plant HR functions of all the group companies.
Responsibility:
RECRUITMENT:
• To manage recruitment and selection process of Staff / Employees through manpower planning, Budget etc.
• To search and screen candidates resumes, conduct preliminary interview and recommend selected candidates to the management.
• Organize interviews of shortlisted candidates with HOD’s and Directors.
• Fix salary of selected candidates and prepare job offer after CTC approval.
• Issues job offer to the candidate and be in touch with the candidate for early joining.
• Arrange pre-employment medical test of candidates.
• Carry out joining formalities and prepare personal record file.
• Organize induction and Orientation programme at corporate office and plant.
• Issue appointment letter after joining.
• Organize performance review meeting of probationers and issue confirmation letter.
PERFORMANCE MANAGEMENT SYSTEM:
• To set the goals of employees every year in consultation with their HODs and Director
• Organize periodical performance reviews
• Organize annual appraisal process
• Work out annual revisions based on performance ratings
• PMS record maintenance
• Work out performance improvements plan for non/poor performers and take necessary actions.
PAYROLL RELATED ACTIVITIES:
• To check monthly attendance report of Head office, Factory and field office staff deputed at various customers.
• Compute payable days based on attendance, Leave, OD etc.
• Process monthly Salary and Wages, get approval and submit to Accounts for payments.
• Create monthly payroll file hard copy and soft copy including Paysheet, Payslip, Statutory compliance reports etc.
• Prepare monthly invoice for field staff and send it to customers in the 1st week of every month.
• Ensure salary payment to field staff as per the payment cycle.
• Create PF & ESIC number of new joined employees.
• Provide salary details to Consultant for preparing challans after this submit to Accounts for payments.
• Issue monthly pay slips to Staff
TRAINING & DEVELOPMENT:
• Identify the training needs from PMS and HODs suggestions
• Prepare training calendar for the year
• Prepare monthly training plan
• Identify trainers, Faculty for conducting trainings.
• Organize training programme as per schedule
• Carry out training effectiveness quarterly
• Training record maintenance
INSURANCE:
• Renew Group Mediclaim Policy and Group Personal Accident Policy with good Insurance service provider.
• Addition and deletion on monthly basis
• Issue cashless card to employees
• Provide support in case of Claims settlements
• Ensure company vehicle insurance, company assets insurance, Godown, Fire policy insurance.
LEGAL COMPLIANCES:
• Monitor Legal Compliance calendar every month
• Take action on various renewals in time with proper documentation and approval
• Attend Govt. offices in case there is a need
• Attend Audits and inspections in office and Factory
• Resolve issues related to Legal Compliance
• Maintain all Licenses, Documents in file and update
• Prepare monthly MIS on Legal Compliance for HO and Factory.
ADMINISTRATION:
• Monitor local visits and conveyance of staff for official visits
• Recommend various reimbursements to the management for the payments by every Saturday.
• Oversee Safety, First-Aid, Water, Canteen, Housekeeping, Telephone, Internet etc.
• Responsible for Security supervision and transport arrangements.
• Arrange various events such as annual get-together, Women’s day, Birthday and other functions.
• Allot Sim card, ID card, visiting card, Laptop, Uniform, safety shoes, etc. to employees whoever needed and maintain record for the same.
• Maintain office Assets and records
• IATF Compliance with the support of plant HR and Safety
• To look after Office Stationery & Printing- Purchase, Stock, Issuance, Reports
• CCTV Management
• CSR management with the support of plant HR
• Diwali sweets distribution
• Property tax
• Office Fire Extinguishers management
• Carry out all other activities given by the management (which are not mentioned here).
SEPERATIONS:
• Carry out full and final settlements of left employees
• Settle their PF and other claims
• Issue them Service Certificate
• Conduct exit Interview
• Ensure no dues and clearance certificate
• Maintain left employees personal files
DISCIPLINE:
• Observe absenteeism of Staff on daily basis.
• Warn them for improvements if needed.
• Prepare records such as Warning letter, Show cause letter etc.
• Provide training for Behavioral improvements.
