We are currently seeking a highly organized, customer-focused professional to join our Calgary Showroom team on a part-time, permanent basis. The successful candidate will be available to work between 16 - 24 hours per week, between 9:00am - 5:00pm, Monday to Friday.
Primary Job Purpose
Working closely with the Sales Manager and Outside Sales team, this role plays a key part in supporting the day-to-day administrative and operational functions of the showroom. The position requires a high level of attention to detail, organization and a process-driven approach to ensure accurate documentation, effective coordination, and clear internal and external communication. In addition, this role provides sales and client support to help deliver a seamless and professional customer experience.
What You’ll Do
Provide coverage for the showroom and assist with daily showroom maintenance.
Ensure the showroom is clean, minimalistic and represents the Divine brand.
Maintenance of the overall showroom including samples, signage, vignettes, and ordering supplies
Serve as the first point of contact for showroom inquiries, providing information on products and pricing, while ensuring accurate documentation of client interactions.
Coordinate and administer builder selection appointments, including preparing documentation, tracking selections, and ensuring timely follow-up.
Maintain and manage assigned builder accounts, ensuring files, pricing, specifications, and communications are current and accurate.
Process and track documentation related to quotes, selections, pricing updates, and internal communications.
Support daily showroom operations, including scheduling coverage, maintaining supplies, and ensuring administrative tasks are completed efficiently.
Support planning and coordination of corporate showroom events from an administrative and logistical perspective.
Maintain organized digital and physical filing systems to ensure accurate record-keeping and easy retrieval of information.
Liaise between departments to ensure smooth communication and workflow coordination.
Assist the Outside Sales team with administrative tasks, reporting, and account updates as required.
Identify opportunities to improve internal processes and contribute to operational efficiencies.
Who You Are:
Highly organized with strong administrative and coordination skills.
Detail-oriented with the ability to manage multiple priorities while maintaining accuracy.
A proactive problem-solver who takes ownership of tasks and follows through to completion.
Comfortable working in a fast-paced environment with changing priorities.
Strong written and verbal communicator with professional and confident interpersonal skills.
Collaborative and team-oriented, with the ability to work cross-functionally.
Demonstrates accountability, reliability, and sound judgment when handling sensitive or time-sensitive information.
What You’ve Done:
Completed a diploma or degree in Interior Design, Business Administration, Product Development or a relevant discipline.
Relevant administrative or coordination experience in a professional environment (industry experience considered an asset).
High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Teams), as well as CAD, Canva, Drop Box and Monday.com
