Spa Office Coordinator/Part-Time
We are an well established therapeutic and medical massage therapy center known in Manhattan for the last 30 years. Verified as New York State Licensed Professional Massage Spa in Manhattan, we are located in a safe residential neighborhood. We are looking for a experienced, friendly, detail oriented, computer savvy individual to join our team as a office coordinator. This is an extremely nice work environment with great vibes. It is necessary that you have scheduling and excellent customer service experience! Training is available for the qualified candidate that has prior experience in Mindbody, Booker or Boulevard.
Responsibilities:
As an important representative for our therapeutic and medical spa, you will be front and center while interacting with our clients and scheduling appointments utilizing MINDBODY software.
You will be handling a multi line phone, confirming appointments , follow up calls and handling responses to emails are expected. You are a professional and you are proficient in reception and reservations. You will be educated with our treatment menu and we will expect you to understand and share the accurate information.
Coordinate front desk activities, direct client flow, check-in and checkout our clients and process payments accordingly. Reschedule and sell packages. Clerical follow up.
Provide timely and accurate communication and feedback to clients regarding their appointments and types of massage therapy services, sell packages, gift certificates and share other pertinent information. Various clerical duties will be your responsibility besides booking appointments. Must type at least 40wpm.
Offer friendly, professional customer service to all clients and staff.
Answer phones in a timely manner. You have proper grammar and professional phone skills. Return calls, book, reschedule and cancel appointments and take care of our lovely and welcoming massage spa.
Ensure all paperwork is completed and scanned accurately. Follow up skills and attention to detail is necessary for all tasks.
Assist with data entry, emails, interoffice communication and managing the sanitary appearance of the office. Tidying as needed. Multitasking is a must as well as organizational skills.
Qualifications:
High school diploma or equivalent required. Associates degree preferred but not required. College degree preferred but not required. Must be able to read, write, speak, and understand English.
Ability to work 2-3 shifts a week (steady shifts) including some coverage for the other office coordinators to meet the needs of the business. Ability to follow written and verbal instructions in English. Ability to work in a team environment in order to achieve common goals. Work with instruction from the Director and wellness coordinators.
You have prior experience in a massage spa, medical spa, day spa, holistic center, gym, yoga or alternative medicine facility. Spa or Massage Center experience preferred by not necessary. Please don't apply if you haven't used scheduling software in a previous position.
Assist with other duties as assigned. You must be proficient with Microsoft Word and basic Microsoft Excel and have seasoned customer service skills. You have proper grammar and phone etiquette skills. You are super organized and punctual. You love dealing with people and working with a kind managerial staff.
