Trademark Support
Draft, revise, and manage correspondence and filings related to trademark prosecution and enforcement.
Access and use online trademark databases and websites, including the Canadian Intellectual Property Office (CIPO) and USPTO.
Prepare and coordinate documents for the Trademark Opposition Board and Federal Court proceedings.
Assist with monitoring deadlines and maintaining docketing systems specific to trademark applications and renewals.
Litigation Support
Assist in preparing, formatting, and electronically filing legal documents (e.g., pleadings, motion records, and briefs) in accordance with court rules and filing systems.
Arrange service and filing of court documents, including liaising with process servers and court offices.
Book court attendances, motions, and case conferences; ensure proper documentation is filed and served.
Maintain working knowledge of the Rules of Civil Procedure and Civil Practice Directions for the Superior Court of Justice.
Administrative & General Legal Support
Respond to routine client inquiries and professionally liaise with clients, lawyers, and court personnel.
Schedule appointments, manage calendars, coordinate travel arrangements, and track critical deadlines.
Draft, format, proofread, and revise legal documents and correspondence.
Manage digital and physical filing systems in accordance with firm policies.
Maintain a tickler/bring-forward system to ensure timely task execution.
Assist with billing processes, including WIP review, generating prebills, and issuing invoices.
Input and track expense claims as required.
Requirements
Experience:
Minimum 3+ years of legal assistant experience, with a focus on trademarks and litigation.
Experience with trademark prosecution is strongly preferred.
Familiarity with commercial litigation, arbitration procedures, and Federal Court and Case Centre processes.
Education & Credentials:
Legal Assistant Certificate, Law Clerk Diploma, or equivalent legal education.
Technical Skills:
Proficiency with legal software and document management systems.
Experience with ACL, Everlaw, NetDocuments, Actionstep (formerly Soluno), or comparable tools is an asset.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
