Ideally, you've previously worked in a related role in the architecture, engineering, or construction industry
Associated Degree or equivalent from a 2-year college or technical school
You are meticulous about your work and have a knack for spotting inaccuracies in billing, invoice coding, subcontracts, and proposals
Responsibilities
We strive to provide premier client service through our continuous communication and project updates
Our project staff is in constant interaction with Industrial Development, Engineering, and Operations managers throughout the Class One railroad companies and Short Line carriers
As our Accountant/Administrative Assistant, you will partner with the Via Rail team by providing accounting and new client assistance
Every day we'll rely on you to complete various accounting tasks and addressing all intake and setup activities for new projects
To thrive in this role, you should have a focus on detail and the motivation to get the job done
Will address all intake and set up activities for new projects and leads meaning entering project and client information into our financial system (Unanet) create project folders with all the project details
This involves putting information together such as new client form, Google Earth image of project site, downloading site pictures and information
Accounts payable invoice and data entry
Internal credit card reconciliation
Contacting clients about payment status and resolving any irregularities
Ensure insurance requirements are met, including subcontract default insurance (SDI), and confirm certificate accuracy
Manages timelines and keeps electronic client files up to date
Administrative responsibility of contracts, agreements, PO’s; invoicing, subconsultant contracts, etc
Assist project management with pay applications and identify potential challenges or inaccuracies
Research activities – clients, railroads, local jurisdictions, permitting
