Job Description
The Accountant (Quickbooks) leads the financial reporting, billing, and accounting functions, serves as a backup for payroll, covers administrative functions, manages customer contracts, purchasing, license renewals, provides the third line of backup to scheduling and phone work, manages inventory, vendor and distributor partnerships, and actively serves on the management team
An employee in this position keeps themselves educated on Financial Accounting Standards Board (FASB) requirements, and generally accepted accounting principles (GAAP)
Financial: 30% of total workload
Manages the month-end close processes
Prepares assigned journal entries of monthly transactions (Payroll and CPC)
Reconciles assigned general ledger accounts monthly, resolves variances and adjusts as necessary
Administrates Simple Pension plans
Pay Washington sales tax monthly
Reviews AP invoices and prepares biweekly vendor payments and AP reporting
Maintains the accounting software
Participates in tax filings and budgeting
Updates and records all changes to fixed assets, including additions and deletions, transfers, and depreciation expense
Creates reporting, analyzes information, and provides reports as requested
Supports CEO with reports, analysis, and insights on the financial health of the organization
Performs annual activities such as 10++’s and annual state filings
Purchasing, vendor management, and license renewals: 25% of total workload
Purchasing of supplies, including hardware, purchasing planning, and documentation in ERP (ConnectWise)
Managing PO ordering system
Managing license renewals for ATS and the customers
Bidding and negotiating of the prices on behalf of ATS
Managing rebates and discounts
Inventory management, proper and timely amortization, and disposal of obsolete inventory
Payroll: 5% of time
Timesheet audits
Biweekly payroll with the support of Payroll vendor
Setting up taxes and tables in payroll software
Final checks
Payroll reports audits
Billing, customer contracts 20% of total workload
Managing invoicing and billing functions
Managing proposals
Participation in costing the projects
Admin and ERM: 5% of total workload
Implementation of new systems, onboarding new vendors
Policy revision participation
Active participation in strategic planning
Provide honest, constructive business insight on any of the functions of the ATS
Synchronize Automate and CW databases
