Primary :
• Office administration and Infrastruture management - To supervise the overall functioning of the office. Coordinate with the building management for smooth access and operation of the office.
• Security and access card monitoring - In coordination with companies global security standard
• Facilities management & Repairs and Maintenance - To budget and timely execution of the maintenance to make sure office is always in the best form.
• Liaisoning with various authorities & Statutory Compliance - Expertise in Handling MSEB, Shop ACT, DIC and other government local bodies
• Travel Desk Management - Coordination of travel arrangements for the DT Leaders and staff members and the coordination as per the Company Travel Policy. (Travel Tickets, Corporate Credit Cards, Visa Processing, Overseas Travel Insurance, Car bookings, Hotel bookings, Guest House for local & global DT Team)
• Inventory management – Assets and all the office material along with the material movement within the office premise.
• MIS, reporting & budgeting - Maintain various records in spreadsheets/databases and produce reports requiring data compilation and analysis - daily/weekly/monthly/annually.
• General Administration Support – Provide administrative support including tracking and reporting expenses, supply ordering/tracking, processing invoices/expenses, etc. May manage learning qualifications for organization to include but not limited to Code of Conduct and Safety training.
• Bridge the communication across local DT, HR, Admin & Global DT in efficient manner.
• Support DT Leaders in Employee Onboarding preparations & overall Process.
• Support DT Leaders in Employee Engagement Activities planning & execution.
• Follow up with new employees to ensure that they are equipped with all tools, applications & information.
• Day to Day Activities - Stationery, Business Cards, Nameplates, Parking Stickers for Staff, Up loading various documents in share point.
• Identify and propose Continuous Improvement (CI) opportunities across job scope.
Secondary (Back Up):
• Calendar management, Organize team meetings, Prepare & distribute minutes of team meetings.
• Inhouse and outdoor Event, meetings Management - Schedule, coordinate, and manage meetings including coordinating conference rooms, making meal arrangements, creating/reporting meeting agendas. (Training, Communication, Collaborations, Celebrations, Traditional Days, Festivals, etc).
• Raise Global SAP/Workday requisitions in co-ordination with administrative assistant.
• Employee reimbursements and concur expense reports Support to leaders as well as employees.
• Presentation Design and Execution – Capture strategies and messaging in innovative PowerPoint presentations.
• Updating of Phone Directory, Contact details, B ‘day/Anniversary lists, etc.
• Coordinate for onsite/remote interviews with HR, receive the candidates on DT floor & help them with placing the conference rooms, filling up applications forms, any other support required, communication with HR, Vendor/Partner Communications as & when required.

EDUCATION AND EXPERIENCE
• Bacholer degree in any stream with minimum 3 years relevant experience in Administration support is required.
• Excellent computer literacy and proficient Microsoft Office experience including: MS Word, Excel, Power Point, Access, and office 365.
• Strong interpersonal, verbal and communication skills to effectively communicate with a variety of individuals.
• Excellent organizational and planning skills and the ability to manage a wide variety of activities simultaneously.
• Expereince in Smart Facility Implementation/understanding is strong plus.
• General understanding of Digital Technology (IT) infrastructure and processes, but not a requirement
• Might ideally suit someone with accounting experience but not necessarily technical experience in IT systems and processes.
