Duties & Responsibilities
Act as the point of contact between the executives and internal/external clients
Undertake the tasks of receiving calls, take messages and routing correspondence
Housekeeping, Security Management.
Ensures that the office is clean, Hygiene.
Booking of Flight Ticket, Car, Hotel.
Handling of Uber corporate portal for employee.
Monitor office supplies and research advantageous deals or suppliers
Vendor management.
Produce reports, presentations and briefs
Manage office supplies stock, stationery & other consumables etc.
Prepare regular reports on expenses, office & travel budgets
Maintain and update employee details in databases in various MIS.
Organize a filing system for important and confidential company documents
Answer queries by internal stakeholders & vendors.
Update office policies as needed
Maintain conference & lecture room booking file and allot the as per requirement.
Distribute and store correspondence (e.g. letters, emails and packages)
Prepare reports and presentations with statistical data, as assigned
Arrangements for in-house events, meetings, reviews.
Travel & budget for offsite & smooth execution of all arrangements.
Verification & process of Pan India Invoices, petty cash statements, local conveyance, travelling expenses.
Preparation of PR & co-ordination with central Admin team for procurement & timely delivery
Repairs & Maintenance.
Strict adherence to the prescribed process and the desired documentation is completed
Internal Shifting & movement of employees & assets.
Handling the day-to-day work schedule of Office peons.
New Rate contract & vendor empanelment.
Timely renewal of existing rate contract & AMC’s.
Knowledge of assets insurance process.
Qualification
Graduate
Experience
Minimum 3 to 5 years of relevant experience.
Skills & Abilities
Proven work experience as an Administrative Officer, Administrator or similar role
Solid knowledge of office procedures
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
Discretion and confidentiality
Strong negotiation skills.
