Second Generation Exteriors is one of the leading exterior contracting companies in the Airdrie/Calgary region, specializing in roofing, siding, eavestrough, renovations, and insurance restoration. We are a fast-paced, high-growth company known for quality work, strong systems, and getting things done properly the first time.
We are looking for a highly organized, detail-oriented, and proactive Administrative & Executive Assistant to support our operations team—and directly support the owner—to help keep everything running smoothly.
The Role
This is not your typical admin job.
You will be the backbone of our office operations, supporting:
Estimating & production workflow (Jacquie)
Accounting & admin systems (Lyla)
Owner/executive support (Brad)

Key ResponsibilitiesOperations & Project Coordination (Jacquie Support)
Ensure every lead/job has a properly organized file and folder system
Upload and manage quotes in the system (Buildertrend)
Send work authorizations via Adobe Sign when prompted
Process signed work authorizations into active jobs
Start and maintain:
Project Summary sheets
CompanyCam project scopes
Tracking spreadsheets for jobs (windows, siding, etc.)
Assist with job setup and workflow efficiency during busy periods (hail/events)
Accounting & Administrative Support (Lyla Support)
Answer phones and emails across multiple inboxes
Send invoices, receipts, and statements
Process e-transfers and cheque deposits
Organize and file financial documents (DEXT, vendor files, etc.)
Maintain customer and project records
Assist with:
Insurance comparisons
Updating price lists
Construction lien paperwork
Track material orders and customer data
Support onboarding of new jobs into systems (QBO, Buildertrend)
Executive / Personal Assistant (Owner Support)
Manage calendar, scheduling, and daily priorities
Book personal and business appointments
Send emails and follow-ups on behalf of the owner
Keep tasks, meetings, and deadlines organized
Handle reminders and ensure nothing falls through the cracks
Assist with business development follow-ups and communication
Help coordinate projects, meetings, and opportunities
Run occasional personal/business errands or coordination tasks
Client & Office Support
Schedule appointments and client meetings
Greet clients when needed
Prepare job packages and warranty documents
Send review requests and follow-ups
Assist with general client communication
Order office supplies and manage deliveries
Handle incoming mail and documentation
Marketing & Miscellaneous
Assist with social media content and posting
Help with review generation and client communication
Support random projects (awards, documents, process improvements, etc.)
Take initiative on improving systems and efficiency

Experience in construction, admin, or accounting is a strong asset
Bonus Skills (Nice to Have)
Buildertrend or similar CRM experience
QuickBooks Online experience
Insurance claims/admin experience
Social media or marketing skills
Project coordination experience
