This position is accountable for the following end results:
• Facility Management – Responsible for facility management of the offices which includes 24x7 security management, parking & Housekeeping.
• Building Management- Responsible for upkeep of all building utilities i.e. HVAC, Lightings, BMS, Assets. Tracking all AMCs and repair & maintenance of all technical & non-technical items. Close coordination with builder representative for common area issues & maintenance.
• Space Management- Ensuring effective utilization of work space, allocation of seating space to all employees & visitors, meeting room management.
• Logistics Management – which includes material movement, Travel, Transportation & accommodation , Guest / visitor arrangement, Meeting room management.
• Cafeteria/Pantry Management- Checking & processing all correct invoices & tracking timely payments for all vendors.
• Expats Management- Coordinating with travel desk for travel, stay & ground transport of expat guests.
• Planning and coordinating for all administrative procedures and systems and devising ways to documenting & streamline processes
• Maintaining working relationships and effective communication with all departments.
• Building Emergency SPOC- In case of any emergency, he/she will be 1st point of contact for all employees.
• Liasoning- Liasoning with Govt. bodies such as VMC, MGVCL, labour dept. etc.
• General Administration Support – Provide administrative support including scheduling meetings, Infrastructure support, Event Management.
MINIMUM REQUIREMENTS AND QUALIFICATIONS
• 10+ of administrative and/or office & Facility management support experience required.
• Educational Qualifications- Minimum graduate, preferably bachelor in Hotel Management.
• Previous experience working with confidential and sensitive information required. Upholds the highest ethical standards.
• Ability to work independently and as part of a team, self-motivated, adaptable, and should possess positive attitude.
• Discrete and professional with exceptional verbal and written communication skills.
• Exceptional organizational skills, including the ability to multi-task while maintaining high attention to detail. Drives responsibilities through to their completion. Removes obstacles and eliminates non-value-added work.
• Proficient computer skills and in-depth knowledge of relevant software.
• Energetic, high-energy, responsive team player with the interest to take initiative and work in a fast-paced environment.
• Strong relationship management skills with peers, colleagues, and management.
• Highly motivated, results and solutions oriented. Continuous learner.
