Assistant Facilities Manager
Work Dynamics
What this job involves:
People Management
Recruitment, Performance Management and Review, Training, and succession planning
Ensuring all staff is competent to perform their jobs and improve quality of vendor deliverables on day-to-day operations
Team oversight / performance management and mentorship
Establish and maintain working relationship with Learning Team in order to leverage administrative duties such as onsite support, and pre-/post- work plan tasks.
Onsite operations and day to day activities
Manage the daily operational activities of the reception, Service Ambassadors, Event team to ensure smooth operations
Drive HX and events.
Daily briefing of Executives to ensure better delivery on day-to-day operations
Taking facility rounds on daily basis and share the observation points to respective teams
Employee assistance & receive employee feedback on any concerns / support required for any facility/ ad hoc requests
After office hours facilities assistance response.
Ensure all operational and safety procedures are taken care as per SOP
Conduct planning and operational meetings with Learning Team, IT and instructors as required ensuring smooth coordination of events.
Weekly meetings, team huddles, tracker, and other reporting
Updating client on Major activities on site (weekly 1:1, MMR, QBR)
Team meetings and briefing
Reporting for JLL
To prepare daily, weekly, fortnightly, and monthly reports and share to client in addition to weekly connect
Preparing periodic reports for management and operational teams on various pre-defined parameter- Initiate and perform control measures,
Client Engagement and Workplace Experience
New hire onboarding, office tours (virtual/onsite)
Employee delight activities and employee culture support
Formal and informal catch up with clients / employees
JLL related audits and processes
To maintain updated documentation as per directives set forth in the OPS AIDE manual.
Helping
To raise proactive tickets and monitor reactive tickets
To reach out to requestor for further information and close open tickets.
Coordination to resolve open tickets/ ticket data analysis
H&S, Office Environment and Workplace Ambassador
Conduct regular site walks to review safety onsite.
Tracking other ambassador activities
