Under the Supervision of: OLIR Compliance Enforcement Lawyer
Position Summary
The Lay Representative serves as a professional liaison and client advocate for Mecartea & Associates PLLC. Reporting to the Managing Lay Representative and operating under the supervision of the OLIR Compliance Enforcement Lawyer, this role supports client intake, investigations, administrative case coordination, and outreach.
The Lay Representative may advocate for clients and speak on their behalf in approved, non-legal contexts, while strictly refraining from the practice of law or the provision of legal advice. All duties are performed in accordance with firm policy, ethical rules, and supervisory guidance.
Key Responsibilities
Client Advocacy & Representation
Act as a client advocate within approved administrative, community, and agency settings
Speak on behalf of clients regarding procedural, factual, or compliance-related matters as authorized
Support clients during meetings, interviews, or interactions with agencies or third parties
Ensure client concerns are accurately communicated to attorneys and leadership
Investigations & Case Support
Assist attorneys and compliance staff with investigations by gathering information, documentation, and statements
Conduct preliminary fact-finding and intake interviews under supervision
Organize investigative materials and maintain accurate case records
Escalate findings, concerns, or compliance issues through proper supervisory channels
Client Intake & Communication
Serve as an initial point of contact for prospective and existing clients
Collect preliminary case information and supporting documentation
Schedule consultations, meetings, and follow-up appointments
Provide authorized status updates and procedural information to clients
Administrative & Coordination Duties
Assist with non-legal case preparation and document management
Prepare correspondence, reports, and internal documentation
Coordinate with courts, agencies, and external offices as directed
Maintain strict confidentiality and protect attorney-client privilege
Compliance & Professional Conduct
Perform all duties in alignment with guidance from the OLIR Compliance Enforcement Lawyer
Ensure compliance with firm policies, ethical standards, and regulatory requirements
Maintain professionalism, discretion, and cultural sensitivity at all times
Qualifications
Required
High school diploma or equivalent (post-secondary education preferred)
Strong advocacy, communication, and organizational skills
Ability to handle sensitive and confidential information responsibly
Proficiency with office software and case management systems
Ability to follow supervision and compliance protocols
Preferred
Experience in legal services, investigations, compliance, or regulated environments
Client advocacy, intake, or case coordination experience
Bilingual or multilingual abilities (a plus, not required)
Work Environment & Schedule
Office-based with possible limited remote work
May require evenings or occasional weekends
Ability to sit, stand, and handle files and office materials

Successful completion of required background checks
Compliance with all applicable federal, Indiana, and Illinois laws
