The purpose of the role is to provide organization support for AMG Bangalore entity locally. AMG Bangalore is the only offshore unit of Global Asset Management which caters to Data management, Investment Operations, Risk Management, Performance Measurement & Attribution, Data Analytics & Business Intelligence, Regulatory & Client Reporting, Data Quality, Investment Restrictions, Testing and Reconciliations functions and support global business from central location. Geographically AMG Bangalore support multiple business locations in 5 time-zones, operating a shift system.
In the capacity of Administration Manager for AMG Bangalore, the incumbent will be owning responsibilities for new hire onboarding, access management, systems requirements, managing business visits by various stakeholders, invoice control, local unit expense management, recruitment management, maintaining asset control register, desk allocation, capacity planning, vendor management, software licensing register and maintain record of market data cost incurred by Bangalore unit etc. MI for senior management through monthly dashboards and any ad-hoc reporting requirements will also be key ask in this role.
The role holder should have excellent record in stakeholder management throughout. There will be diverse set of stakeholders with whom the incumbent will have to deal with on continuous basis like global and local finance, HR recruitment, GSC admin team, GSC MCM, GSC IT, external vendors etc.
The role is based in AMG Bangalore and reports to the Head of Business, Migrations & Capacity Management.

• The role demands a highly motivated, pro-active approach to overall general administration responsibilities of AMG’s offshore Bangalore entity with excellent communication skills and a keen attention to detail. Candidates should have extensive experience in managing general administration duties of medium size unit of at least 150 – 200 people, be highly approachable and able to come up with solutions to unanticipated problems where required (ideally drawing on industry expertise and prior experience).
• Sees the 'bigger picture' and assesses relationships between solutions / projects and requirements
• Ensure AMG is aligned to Group FIM and Local regulatory compliance in terms of services and operations.
• Adherence to the global policies and standards within all projects, processes and outputs.
• Ability to manage multiple work-streams simultaneously, effectively prioritizing personal and team workload and actively seek guidance for wider priority decisions
• Managing up-to-date log/MI for desk utilization/allocation, offshore budget, open, closed and backfills positions would be the key for this role.
• The role holder will also be expected to achieve results through influence and persuasion as well as exercise direct authority.
Streamline all general administration activities in offshore at GSC, global and regional level
Develop strong engagement with global, regional and local administration functions
Ensure delivery of high quality solutions for business problems.

Operational Effectiveness & Control
• Proactively engage with relevant parties to ensure that there is consistency and gap analysis done on key GSC and FIM requirements – ensure proactive measures, regular governance to monitor and address these issues
• Ensure effective monitoring for overall admin activities within AMG and act as first line of defense for AMG Entity Management Team.
• Support and execute cost improvement strategies
• Review key risks along with BRCM, ISR, Business Continuity and Physical Security to proactively institute controls in place to address the same.
• Feedback and Clearance from various audits being conducted periodically

• The key challenge in this job would be to keep different type of stakeholders together and move in tandem while executing set goals and implementing agreed strategies.
• The role holder will be expected to understand key business goals & priorities at top of the house level, and distill it down to specific goals. With this understanding the role holder shall be expected to track & analyze business performance and identify pain points & gap areas, on his/her own initiative.
• The role holder shall be expected to understand key areas of expertise that are relevant to his/her function and proactively drive adoption of best practices. The role holder shall also be expected to create replicable solutions from analytical output of their team.
Role Context (The environment and operating conditions of the role including the extent of guidance and authority)
• The establishment of the Global Resourcing business is a major Group Strategic initiative which seeks to achieve global operations consistency and centralized capabilities to enable the reduction of the local operations in all AMG geographies cost savings, service improvements and competitive advantage.
• The role holder needs to manage multiple clients from different regions having different time zones, regulatory environment, and maturity of business, data and systems.
Management of Risk (Operational Risk / FIM requirements)
To abide by the Group Compliance Policy by containing compliance risk in conjunction with the relevant Compliance Departments. The term compliance embraces all relevant laws, rules and codes which is applicable to the business.
Observation of Internal Controls (Compliance Policy / FIM requirements)
• The jobholder will also adhere to and be able to demonstrate adherence to internal controls. This will be achieved by adherence to all relevant procedures, keeping appropriate records and, where appropriate, by the timely implementation of internal and external audit points, including issues raised by external regulators.
• The jobholder will implement the Group compliance policy by containing compliance risk in liaison with Global Head of Compliance, Global Compliance Officer, Area Compliance Officer or Local Compliance Officer. The term ‘compliance’ embraces all relevant financial services laws, rules and codes with which the business has to comply.
• This will be achieved by adhering to all relevant processes/procedures and by liaising with Compliance department about new business initiatives at the earliest opportunity. Also and when applicable, by ensuring adequate resources are in place and training is provided, fostering a compliance culture and optimizing relations with regulators.
• To maintain HSBC internal control standards, including the timely implementation of internal and external audit points together with any issues raised by external regulators.

Requirements
What you will need to succeed in the role:
• At least 10+ years’ end to end general administration experience in unit of 150-200 FTEs
• Highly capable communicator with excellent interpersonal skills and ability to build relationships
• Excellent stakeholder management skill is primary key to this role
• Ability to communicate effectively in person as well as via distributed mediums including telephonically, via email, via instant message, etc.
• Fluent professional proficiency in English is an absolute requirement for the role.
• Should have substantial understanding of support functions like Finance (Budget forecasting and expense control), Recruitment process, Capacity Utilization and Requirements
• Degree with significant experience (qualified by experience)
• Team player, strong organizational and time management skills, flexible approach to duties and hours of work, client focused
• Soft technical skills like MS Powerpoint, Visio, Excel are essential for effective presentations and business plans
