Reporting to the Manager, Safety & Security Services, the Assistant, Room Booking & Campus Services is responsible for administering the room booking system for internal and external bookings. The incumbent liaises with internal and external stakeholders to ensure bookings/events are supported by the appropriate departments and meet operational standards.
Summary of Responsibilities:
Enter all requests for bookings using the enterprise system for classrooms, open spaces, event spaces and outdoor space (e.g., Butterfield Park) and condominium units
Work closely with all University stakeholders to administer the effective delivery of event bookings preparation/set up and teardowns
Work closely with members of the Safety, Security & Campus Operations (SS&CO) team, as well as Marketing & Communications, IT Services and Facilities & Studio Services to ensure the bookings meet operational standards/protocols
Work closely with the Director, SS&CO for all related bookings and support for the rental of units at the 210 Simcoe Street condominium building
Facilitate and support the arrival and departure of occupants for rental units at 210 Simcoe Street, including pre/post cleaning, maintenance and operational needs, inventory management, and directly liaises with property management regarding building updates and operational changes
Assist and support with the administration of the University’s photo ID and card access programs, including planning, preparation, inputting, documenting, and distribution
Administer and maintain the University’s locker rental program, including coordination with Distribution Services and Security for locker clean-outs, maintenance scheduling, and lock redistribution
Distribute and maintain the University’s locker rental program and consult with distribution services regarding locker clean-out, including the scheduling of maintenance and redistribution of locks
Reconcile purchasing card transactions and process stock transfers between departments.
Facilitate external payments related to condominium units in collaboration with Finance.
Provide backup support for work request processing
Prepare, maintain, and update documentation related to lockers, condominium units, room bookings, and space changes.
Build, modify, and update space information within the Infosilem system.
Support the Manager, Safety & Security Services in other related duties that contribute to the successful operation of the SS&CO unit
Qualifications:
Secondary school diploma, or equivalent
A minimum of one (1) year related administrative work experience in an operational environment
Demonstrated excellence in customer service, with strong communication and interpersonal skills
Strong computer skills and a demonstrated proficiency with Microsoft Office applications (e.g. Outlook, Excel, PowerPoint and Word); familiarity with Microsoft Project and database applications is an asset
Strong organizational skills and attention to detail and follow through, with a demonstrated ability to multitask and work well under time pressure
Ability to work independently and participate collaboratively in a team environment
Demonstrated commitment to the principles of equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
Compensation: OPSEU Unit 1, Appendix A, Grade A2; $23.48 to $32.29 per hour
Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a temporary contract expected to continue until March 26, 2027.
Mode of Work: 4 days/week on site, 1 remote day
