Status: Part-Time (20 hours per week)
Location: Remote / Work-from-Home (with occasional travel required). PLEASE NOTE: THIS POSITION IS REMOTE BUT THE POSITION REQUIRES RESIDENCY IN THE STATE OF WASHINGTON-PREFERABLY WESTERN WASHINGTON
Position Overview:
The Assistant Travel Coordinator plays a vital role in ensuring the logistical success of our youth soccer programs. Working predominantly from home, you will support the Travel Coordinator in managing all aspects of team travel for out-of-state tournaments and league events. This role requires a highly organized professional capable of coordinating complex logistics—including flights, hotels, and transportation—while maintaining clear communication with staff, families, and vendors.
Core Responsibilities:
Logistics & Booking
Transportation: Secure group flight bookings for players and staff; manage flight manifests and create flight forms for all events. Book rental vans and cars as needed.
Accommodations: Research hotels and negotiate with group sales departments. Review and sign rooming contracts, ensuring accuracy in rooming lists.
Catering & Events: Coordinate banquet spaces and meal services with hotel catering contacts. Review and sign catering contracts and Banquet Event Orders (BEOs).
League Travel: Manage all travel bookings and create detailed itineraries for coaching staff for league-specific events.
Planning & Administration
Strategy: Meet with Directors to establish tournament outlines and confirm staff availability for upcoming trips.
Budgeting: Create comprehensive budgets for all trips to ensure financial targets are met.
Financial Tracking: Create event invoices within the BYGA system and diligently track incoming payments.
Documentation: Compile "Travel Binders" for staff to ensure they have all necessary documentation and contact information while on the road.
Communication & On-Site Support
Family Liaison: Provide families with timely, detailed information regarding event schedules, travel logistics, and requirements.
On-Site Supervision: Travel to select events to serve as the on-site administrator, overseeing logistics and troubleshooting issues in real-time.
Qualifications
Experience: Previous experience in travel coordination, hospitality group sales, or administrative logistics preferred but not required.
Technical Skills: Proficiency in office software; experience with the BYGA platform or similar sports management/billing systems is a plus.
Communication: Strong negotiation skills and the ability to maintain professional relationships with hotel sales and catering teams.
Organization: Exceptional attention to detail and the ability to manage multiple overlapping project timelines.
Flexibility: Ability to work 20 hours per week and travel out of state as required by the tournament schedule.
