Job Title: Back Office Assistant - Sports Operations

Overview: We are looking for a proactive and detail-oriented Back Office Assistant to support the Sports Operations Team. This role is critical in ensuring that all tasks and responsibilities are effectively managed and completed, enabling the Head to focus on strategic initiatives. The ideal candidate will assist in event execution, vendor management, and data organization, ensuring that all open ends are closed efficiently.

Key Responsibilities
• Event Support: Assist in the planning and execution of sports tournaments, ensuring all logistical details are addressed and managed effectively.
• Task Management: Proactively identify and follow up on open tasks, deadlines, and commitments made by the Sports Operations Team, ensuring nothing falls through the cracks.
• Vendor Coordination: Liaise with vendors to confirm requirements and ensure compliance with event standards, maintaining strong working relationships.
• Marketing Collaboration: Support marketing efforts by coordinating promotional activities and ensuring that all necessary materials are prepared and distributed on time.
• Sponsorship Support: Help in preparing and finalizing sponsorship presentations, tracking leads, and following up with potential sponsors to secure commitments.
• Athlete Onboarding Assistance: Support the onboarding of athletes onto our Sports Management Platforms, ensuring targets are met and processes are smooth.
• Sales Support: Assist the sales team by tracking goals, preparing reports, and following up on action items to ensure team success.
• Cross-functional Collaboration: Work closely with operations, Sales, Customer service, and Finance teams to ensure seamless event execution and high customer satisfaction.
• Data Collection & Analysis: Gather and analyze data related to sports participation and athlete performance, preparing insightful reports for review.
• Program Evaluation: Continuously assess program effectiveness, following up on improvement opportunities and ensuring feedback is integrated.

Qualifications
• Graduate in any field
• 2-3 years of experience in event management or administrative support.
• Proficiency in Microsoft Excel, Word, and PowerPoint.
• Strong verbal and written communication skills in English.
• Willingness to travel within and outside the city if needed.
• Positive, growth-oriented mindset with a focus on problem-solving and teamwork.
