What we expect
Role Responsibilities
Provide exceptional support of assigned portfolio as directed.
Work collaboratively with departmental leaders to achieve operational objectives
Perform administrative support for branch operations, including responding to customer inquiries, internal stakeholders and redirecting them as needed
Track, update, and process field personnel hours, payroll, and related documentation to ensure accuracy
Maintain and manage project files, including opening, updating, closing, and ensuring proper tracking
Monitor and replenish office supplies and equipment as needed
Generate and draft and update relevant departmental reports
Record HR activities, support safety initiatives, and ensure compliance with policies and industry regulations
Maintain accurate data entry and filing (physical and digital)
Request and track TSSA inspections
Provide requested paperwork for job starts as well as TSSA inspections
Process elevator turnover information and communicate updates to the service and maintenance teams
Communicate regularly with the head office and perform other duties as assigned
Provide backup coverage to colleagues within the team during absences and planned time off
Other duties as assigned
Who we are looking for
Role Qualifications
Diploma in Business or Office Administration or related field
A minimum of 2 years of relevant experience (related industry considered an asset)
Strong business acumen and attention to detail
Exceptional communication skills paired with the inherent ability to prioritize and organize tasks
Excellent customer service, project coordination and conflict resolution skills
Ability to work effectively under pressure, manage competing priorities and thrive in a fast-paced environment.
Resourceful, self-drive and collaborative
Ability to innovate and make process improvement recommendations
Strong aptitude in Microsoft Office Suite; Word, Excel, PowerPoint, Oracle
The ability to travel and work within the Downtown & Greater Toronto Area as needed based on operational requirements
