Job Description
We are seeking a dynamic and highly organized CEO Secretary to serve as a vital support partner to our executive leadership team. Key Responsibilities
1. Daily Operations & Calendar Mastery
Executive Calendar: Manage the CEO’s daily schedule, ensuring all internal meetings, deadlines, and travel are organized and conflict-free.
Email & Communication: Act as the primary filter for the CEO’s inbox; drafting responses, flagging urgent internal matters, and managing the flow of information.
Travel Management: Coordinate all domestic and international travel, including detailed itineraries, flight/hotel bookings, and transportation.
2. Internal Coordination & Project Tracking
Department Liaison: Act as the central point of contact between the CEO and department heads/staff to ensure internal projects stay on track.
Task Management: Follow up on action items assigned by the CEO to team members, ensuring deadlines are met across the organization.
Meeting Documentation: Organize internal executive meetings, prepare necessary briefs/documents, and record meeting minutes for internal distribution.
3. Documentation & Office Management
Content Creation: Prepare, edit, and proofread internal memos, reports, and PowerPoint presentations for staff meetings or company-wide updates.
Expense Reporting: Efficiently manage the CEO’s business expenses, ensuring all receipts are tracked and submitted to the Finance department on time.
Personal Support: Assist with ad-hoc personal tasks or errands for the CEO to maximize their professional availability.
Requirements
2+ years experience in business management or executive support roles, preferably supporting senior leadership or C-suite executives
Strong organizational skills with the ability to multitask effectively under pressure
Excellent communication skills—both written and verbal—with a keen eye for detail
Demonstrated leadership abilities with supervising experience in an administrative or managerial capacity
Knowledge of strategic planning processes and business development strategies
Proficiency in financial management tools and management software (e.g., MS Office Suite, calendar management systems)
Ability to maintain confidentiality while managing sensitive information with integrity
