About the Role – How you will Contribute to the Service:
As a Court Services Clerk (Continuing Full Time), you will play a vital role in ensuring the smooth and efficient operation of the Court Services Unit. You will be at the heart of court administration, managing dockets, briefs, subpoenas, and records that are critical to the day-to-day operations of Halton Police.
Working as part of a collaborative, detail-focused team, you will develop expertise in criminal and provincial offence processes, including the use of NICHE and CPIC systems. You will liaise with internal and external stakeholders, ensuring accurate documentation, supporting court schedules, and providing essential information to officers, Crown Attorneys, lawyers, and other justice partners.
Your attention to detail, discretion, and organizational skills will ensure that sensitive information is handled accurately and securely, contributing to the overall effectiveness of the Court Services Unit. Here’s What you’ll Get to Do:
Process, distribute, and file criminal and provincial offence dockets, ensuring records and briefs are accurate and complete.
Match Crown briefs with dockets, verify subpoenas, and track missing documents to keep court files up to date.
Liaise with courts, Crown’s Office, case management, and internal staff to reconcile documents and support smooth court operations.
Provide accurate information on court dates, locations, charges, and prisoner access to staff, lawyers, and other stakeholders.
Conduct background checks and manage records using NICHE and CPIC, including sending messages to other police services as required.
Monitor court security systems, respond to alarms, and coordinate court security officer response when needed.
Maintain organized filing systems, update records for new charges or motions, and ensure document control standards are met.
Manage incoming mail, office supplies, and clerical support for the Court Services Unit.
Assist officers and colleagues with operational requests, contributing to team efficiency and continuity.
What you will Bring to the Role:
Education, Certifications, Experience and Qualifications:
High school diploma
Minimum six months of experience in related general or administrative office experience within a computerized environment.
Familiarity with the Criminal Code of Canada and the Court System is an asset
Knowledge of police organizations, and/or a law enforcement background is an asset
Excellent computer skills in the use of Niche and Adobe.
Proficiency in MS Word and MS Excel
Tact and diplomacy skills to work within a confidential and professional environment.
The successful candidate must be able to work up to 35 hours a week during the core business hours Monday to Friday (8:00 am to 4:00 pm)
Flexibility to work in our three (3) locations; Burlington (Provincial Offences Act (POA) Court and Criminal Court, and one location in Milton (Criminal Court)
Note: The successful applicant will need to pass a background check to the satisfaction of the Service which will include reference checks with previous employers, verification of educational achievements, and a criminal background screen.

Hourly Rate of pay: $76,062.00 - $83,060.00
